Split sales to different ledger accounts

This article covers the splitting of sales data into different Xero ledger accounts.

The Xero Integration setup guide outlines the various steps to follow in order to get going with Xero. It covers the basic default settings such as sales, payment, and purchase ledger account settings. Those default settings can be augmented to sync sales to different accounts depending on tax rates, payment gateways, and so on. The following article outlines the steps to follow to sync your sales data to different Xero accounts.

Add a sale sync rule

  1. Under Integrations
  2. Click Settings under the Xero integration tile
  3. Under the Sales accounts section, click Add Sync Rule
  4. Select a Condition that you need
  5. Type in or select a value
  6. Choose the ledger account you want this type of data to sync to
  7. Once you are ready to go, click on Add Rule

The table below outlines the sale sync rules supported as of today:

Sync rule name (condition)How it works
Sales from storeSync sales data into different ledger accounts depending on the sale store the order is originating from. A common usage of this rule is to sync different invoices from different Shopify stores to different leger accounts.
Tax percentage on invoice itemsSync sales data into different ledger accounts depending on the tax rate assigned to the invoice line item. This rule is useful for splitting tax exempt line items from those with a non nil tax rate. This rule is commonly used to split out international (VAT free) sales from local sales.
Invoice landed costs such as shipping & handlingThis rule is commonly used to split out sale landed costs such as shipping and handling into a separate ledger account
Sales from channelSync sales data into different ledger accounts depending on source of the sale order.

This rule is commonly used to split out Shopify sales made online versus those made via a POS system.

This field can be set to any supported Shopify order SourceName. 
The most commonly used values are:

web: identifies sales made via the online store.

pos: identifies sales made via a POS system.
Sales from LocationSync sales data into different ledger accounts depending on the location a sale order is shipped from.
Order contains tagSyncs sales data into different ledger accounts depending on the tag added to a sale order.
Sales from CountrySync sales data into different ledger accounts depending on the country.

This sync rule is helpful when you’re making sales in different countries and want to segregate your sales into other ledger accounts and/or tracking categories.

Add a sale sync rule per Product

If you want to assign default ledger accounts per product type or brand to override the default ledger accounts/tracking categories, you can do so in bulk from your Inventory.

  1. Go to your Inventory > Products module.
  2. Select the products that you want to set up to the same ledger accounts.
  3. At the top-right corner, click Bulk Actions.
  4. Click Ledger Account Settings.
  5. A dialog box will appear where you can customize the ledger account and tracking category for the selected products.
  6. Click Save.

The selected ledger account/tracking categories per product can be removed or changed using the same approach.

Remove a sale sync rule

To remove a sale sync rule:

  1. Go to Integrations
  2. Click on Settings on the Xero integration tile
  3. Under Sales Accounts, find the rule you want to delete
  4. Click on the cross (❌) symbol next to the rule you created.

Once you are done creating rules and making other changes to your Xero integration settings, you can click on Save Changes.
