Go live in weeks, with somebody who has done it before

Onboarding is a fixed programme, not a bucket of hours. You get a named specialist, a published list of sessions, your data checked before it goes anywhere near the system, and a person on the phone on the day you switch over. You will know before you book what is in it and what is not.

What a guided programme gets you

Most of what goes wrong in an inventory rollout goes wrong in the first three weeks, and almost always for the same handful of reasons. The programme is built around those.

  • One specialist, start to finish

    The same person runs every session, so you are not re-explaining your business to a new face each week. They know your product structure, your channels and your accounting setup by the second call.

  • Your data checked before it lands

    We validate your templates and tell you what will fail before we import anything: duplicate SKUs, missing units of measure, opening stock that does not tie to your count. Finding it afterwards is what turns a four week rollout into a four month one.

  • A published list of sessions

    You can read the whole programme on this page before you pay for it. Every session has a purpose, a length, and a note on who from your side needs to be in it.

  • Your team trained on their own jobs

    Purchasing learns purchasing, the warehouse learns picking and shipping, finance learns month end. Training the admin and hoping it spreads is the most common reason a system gets abandoned in month two.

  • Someone there on go-live day

    Cutover is the only day that cannot be rescheduled. Your specialist is available on it, and there is a readiness call before it where we agree what is frozen and what is not.

  • A fixed price and a fixed scope

    You pay for the programme, not the clock. If something turns up that is genuinely outside it, we tell you what it costs before we do it, never after.

The programme, session by session

Four to six weeks for a standard rollout. Each session is a scheduled call with your specialist; the work between them is yours and ours in the proportions set out below.

  • Kick-off

    60 minutes. We map how your business actually runs today, agree a go-live date, and hand you the data pack. Bring your project owner and whoever is allowed to decide that a process will change.

  • Data preparation

    No call. You fill the templates for products, customers, suppliers and opening stock. We review what you send and come back with a list of what will fail, so you fix it once rather than three times.

  • Account setup

    60 minutes. Company settings, locations, units of measure, tax rates, product and variant structure, and the costing method you will run on. This is the session that is expensive to change later.

  • Import and review

    60 minutes. We import the validated files and you check them against your own numbers while we are on the call. Nothing moves forward until the stock figures are ones you recognise.

  • Integrations

    60 minutes. We connect your sales channels and your accounting, and map the fields Qoblex needs on each side. What each connector does, and where our side of the line stops, is set out in the terms.

  • Purchasing and receiving

    60 minutes, with the people who actually raise orders. Supplier terms, purchase orders, partial receipts, landed cost, and what happens when a shipment arrives short.

  • Sales, picking and shipping

    60 minutes, with the people who actually pick. Sale orders, allocation, backorders, picking and packing, shipments, and the point at which stock and the ledger both move.

  • Go-live readiness

    45 minutes. A checklist against your own workflows, a final opening stock reconciliation, the cutover date confirmed, and an agreed list of what is frozen in the old system from that point.

  • Go live, then a check-in

    Your specialist is available on cutover day. Two weeks later there is a 30 minute review of anything that surprised you, and a walk through your first month-end close.

Three ways to onboard

Every plan can be onboarded. The question is how much of it you want to run yourself. Prices are one-time, in USD, and separate from your subscription.

What is covered, and what is not

Covered by your programme

  • Every session listed above, run by your specialist.
  • Reviewing the import templates you fill in and telling you what will fail.
  • Running the import itself, and reconciling opening stock with you on the call.
  • Configuring Qoblex: locations, units, tax rates, product structure, costing method, user roles.
  • Connecting your sales channels and accounting from the Qoblex side, and mapping the fields Qoblex needs.
  • Training your team on the workflows they will actually run.
  • A written readiness checklist and a cutover plan.
  • Being available on go-live day, and the check-ins your package includes.

Not covered, and why

  • Cleaning your data. We tell you what is wrong with it; correcting duplicates, units, barcodes and stock counts is yours, because only you know which figure is the right one.
  • Accounting advice. We are inventory specialists, not accountants. We will connect Xero or QuickBooks and map what Qoblex needs, but your chart of accounts, tax treatment, reconciliation and period close belong to you and your accountant.
  • Configuring systems that are not Qoblex, including your store theme, your shipping carrier account, or settings inside your accounting package.
  • Counting your stock, or reconstructing history that was never recorded anywhere.
  • Custom development, bespoke reports, or integrations with systems we do not have a connector for.
  • Anything you did not raise before the programme was scoped. We will quote it, and you decide.

What we need from you

The programmes that finish on time are the ones where these four things are true on day one. None of them is difficult; all of them are slow to fix once the calendar is running.

  • One person who owns it

    A named project owner on your side who attends every session and can chase the work between them.

  • Someone who can decide

    Rollouts stall on decisions, not on software. Whoever can approve a change to how you work needs to be in the kick-off.

  • Data you trust

    Templates filled in and cleaned before you send them. Once a file is imported it is not reversed, so the check happens first.

  • Access, ready

    Admin access to the stores and accounting you want connected, from someone who can grant it without a two week wait.

Questions before you book

Do I have to pay for onboarding?

No. Qoblex is built to be set up without us, and plenty of businesses do exactly that: import a CSV, connect a store, enter opening stock. Business plans include a one hour kick-off call, and the support knowledge base covers every step. A guided programme is for teams who would rather not spend their own weeks finding out which order to do it in.

How long does it take?

Four to six weeks for a standard rollout, six to eight if you are manufacturing, running several warehouses, or selling through more than a couple of channels. The single biggest thing that stretches it is data that is not ready, which is why there is a preparation step before anything is configured.

What if I need more than the package covers?

We quote it before we do it, at $199 per hour, and you decide. You will never receive an invoice for work you did not agree to in advance. If the extra work is substantial we will usually suggest moving you up a package instead, because it is cheaper.

Can you set up our Xero or QuickBooks for us?

We connect it and map what Qoblex needs: the accounts inventory and cost of goods post to, tax rates, and how invoices and bills sync. We do not design your chart of accounts, choose your tax treatment, reconcile your ledger or advise on how anything should be recorded. We are inventory specialists and that line is deliberate. Your accountant or bookkeeper should be in that session with us, and they are very welcome to be.

What happens if our data is not ready?

We tell you exactly what is wrong with it and reschedule the import session once at no cost. Data preparation is the one part of this that only you can do, because deciding which of two duplicate SKUs is the real one is a question about your business, not about software.

Can we onboard on a Starter plan?

Yes. Starter does not include the kick-off call, so it is $199 if you want one, and both guided packages are available on any plan.

Do you do this on site?

Not usually. Every session is a scheduled video call, which is what keeps a programme at $995 rather than at the five figures on-site implementations cost elsewhere. If you need someone in the room, tell us at the kick-off and we will talk about it.
