Landed Cost Tracking Software
Landed cost is the true per-unit cost of an item once freight, duty, and other supplier charges are added to the invoice price. Those charges rarely arrive with the invoice, so teams either post them as separate expenses and live with margin reports that are quietly wrong, or split one freight bill across eleven line items by hand. Qoblex captures them on the purchase order, allocates them across the shipment by value, and rolls the result into moving average cost as goods are received.
Know the real cost, see the real margin.
Freight, duty, and handling land on the products that caused them, allocated by value and rolled into unit cost automatically. Your margin reports read from the same number.
Freight & extra costs
Add freight and any other supplier charge as its own line directly on the purchase order, in the order's currency. The cost stays attached to the shipment that caused it instead of drifting off into a general expense account.
Duty & import charges
Record import duty alongside freight, so the charge is visible against the goods it applies to. You enter the duty amount you already know from your broker or customs paperwork. Qoblex does not look up tariff codes or classify goods for you.
Automatic cost allocation
Costs are distributed across line items. Each line takes a share in proportion to its own net value. The allocation is applied automatically every time you save the order, and the calculator shows the same maths on your own shipment first.
Roll-up into cost valuation
Allocated landed cost raises each product’s landed unit cost, which flows into its valuation as soon as the goods are received. Costs you carry in manufacturing, such as labour and shipping, are tracked the same way, so one costing method covers bought and made stock.
True COGS & margin reporting
Because landed cost is already in the unit cost, it is the number your reports use. Sales by Product shows COGS per product and variant, Sales Margins shows costs, profit, and margin by day, week, or month, and Stock Margins shows the potential profit sitting in stock.
Multi-currency
Raise freight purchase orders in over 200 currencies with automatic or custom exchange rates, and cost is computed in your base currency. A freight bill can relate to one or several purchase orders, and it can be in a different currency from the orders it belongs to.
Accounting sync
Approved purchase orders, landed costs included, sync automatically to Xero or QuickBooks Online, which stays your book of record. Each accounting connection is a paid integration, not part of the base plan. See pricing for current terms.
3-way checks against bills
Match the purchase order, the goods actually received, and the supplier bill before the cost settles. It is the check that catches a freight invoice arriving higher than quoted, the moment a landed cost figure quietly goes stale.
Attachments in one place
Upload and attach the commercial invoice, customs paperwork, and freight bill to the purchase order they belong to. When someone questions a cost six months later, the evidence is on the order, not in an inbox.

Frequently asked questions
Everything you need to know about tracking landed cost.
What is landed cost?
Landed cost is the total cost of getting one unit of inventory into your warehouse and ready to sell. It is the supplier’s invoice price plus freight, customs duty, insurance, and any handling or brokerage fees. It is almost always higher than the invoice price, and it is the number your margins depend on.
How do you calculate landed cost?
Add the product cost, freight, customs duty, insurance, and any handling or brokerage fees for the shipment, then divide by the number of units to get a per-unit figure. It gets awkward when one shipment holds several products and the cost has to be split between them. The free landed cost calculator does that split for you and returns per-unit cost, blended cost, and a landed cost factor.
How does Qoblex allocate landed cost across a shipment?
By value. Each line item receives a share of the extra costs in proportion to its own net value (price times quantity) against the total net value of the order, and the split is recalculated automatically when you save. This is the only allocation method available: Qoblex does not offer allocation by quantity, weight, or a manual split.
Does landed cost feed into inventory valuation and COGS automatically?
Yes. Once an extra cost is allocated to a line item it raises that product’s landed unit cost, and that cost flows into its moving average cost when the goods are received. From then on it is the cost used in COGS and margin reporting, rather than the raw invoice price.
Can I track duties and tariffs separately from freight?
Yes. Duty goes on its own cost line with its own description, so you can see what was freight and what was duty on the same order. Charges that should not sit in inventory value, such as VAT, can be flagged as an order-level expense instead. Duty amounts are entered manually. There is no automated tariff code lookup or customs classification.
Does landed cost tracking sync to Xero or QuickBooks Online?
Yes. Purchase orders sync automatically to Xero or QuickBooks Online as soon as they are approved, with the landed costs captured on them, so your accounting platform remains the book of record. Each accounting connection counts as a paid integration, not part of the base plan; see pricing for current terms.
Do I need landed cost software, or is a spreadsheet enough?
If you buy from one domestic supplier, in one currency, with no import duty and only a handful of purchase orders a month, a spreadsheet is genuinely fine. The effort is small and the chance of a materially wrong number is low. Dedicated tracking starts to pay off when you import regularly, when one freight or duty bill has to be split across many SKUs per shipment, or when you need true cost to appear in margin reports on its own rather than as an expense line disconnected from the product it belongs to.
Is there a free way to calculate landed cost before I evaluate software?
Yes. The landed cost calculator takes product cost, freight, duties and taxes, insurance, and other fees across multiple product lines and returns per-unit landed cost, blended landed cost, and a landed cost factor, using the same by-value allocation described above. Run one real shipment through it. If the answer surprises you, you have your answer about automating it.
