This article walks you through creating a single production order from the Manufacturing page: choosing a manufacturer and production type, picking the finished product, and setting the quantity to produce. It covers what Qoblex fills in for you automatically when you pick a finished product, which fields you can change, and the checks Qoblex runs before it lets you save.
After following these steps you will have a saved production order in Draft status, with its component lines already built from the finished product’s Bill Of Material. From there you can start production, which is covered in a separate article.
Create the order
- Go to Manufacturing.
- Select Create. Qoblex opens a new Production Order in Draft status.
- Choose a Manufacturer from the supplier list.
- Choose the Production Type: – Assembly to build a finished product from its components. – Disassembly to break a finished product back into its components.
- Enter or review the Order Number.
- Set the Created at date.
- In Finished Product, type the product name or SKU (the field is labelled Enter product name or SKU) and pick the matching Bill Of Material.
- Choose the production Location.
- Enter the Quantity To Produce.
- Select Save.
What Qoblex fills in when you pick a Finished Product
The Finished Product must be a Bill Of Material (a product recipe). When you select one, Qoblex automatically:
- Sets it as the finished product on the order.
- Sets both Quantity To Produce and Yield Quantity to
1. - Loads the recipe’s components and removes any existing component lines.
- Adds one line under the Bill Of Material tab for each component, with its recipe quantity.
- Sets each component’s Unit Cost from that component’s moving average cost.
When you then change Quantity To Produce while the order is in Draft, Qoblex recalculates every component line quantity from the recipe and resets Yield Quantity to match the quantity to produce.
The manufacturer
The Manufacturer is chosen from your suppliers. Next to the field you can:
- Edit the currently selected manufacturer’s contact details.
- Add a new manufacturer contact.
Which fields you can change, and when
These header fields can only be changed while the order is in Draft:
- Manufacturer
- Production Type
- Finished Product
- Location
- Quantity To Produce
On the component lines, Wastage can also only be edited while the order is in Draft. Unconsumed is only editable while the order is In Production (and only for Assembly orders).
Once production has started, use Amend to open the order for edits again.
Add labor or overhead cost
On the Bill Of Material tab, select Add Labor / Overhead cost to add an extra cost line (for example, labor or machine time). Each line has a description, quantity, and unit cost, and rolls up into the Extra cost Total. These lines can be edited any time the order is not yet Completed.
Save the order
- Save saves the current production order.
- Save & Add new (from the Save dropdown) saves the current order and immediately opens a fresh Draft order using your company defaults.
Once the order has been saved and has an order number, the print button (printer icon) opens the manufacturing print view.
What Qoblex checks before saving
When you save, Qoblex blocks the order and shows a message if any of these are true:
- The manufacturer is missing — Cannot save this production order, supplier / manufacturer is not set.
- A component line has an unknown product — Line {n} : unknown product name…
- A component quantity is blank or zero — Line {n} : quantity undefined or equals 0…
- A component quantity is negative — Line {n} : negative quantity not supported…
- A component cost is blank — Line {n} : cost undefined…
- A component cost is negative — Line {n} : negative cost not supported…
- A component quantity is less than wastage plus unconsumed — Line {n} : Quantity must be greater than equal to the sum of wasted and unconsumed units.
- A labor / overhead line is missing a description, price, or tax — Landed cost item at line {n} : undefined description! / undefined price! / undefined tax!
