05. Inventory Allocations and Stock Movement

A manufacturing order does not touch your on-hand stock the moment you create it. Qoblex reserves and moves inventory automatically as the order changes status: it allocates (reserves) stock at the production location when you start the order, and it moves on-hand stock in and out when you complete it. Starting, amending, and cancelling only affect reservations, never your actual counts.

This article explains what Qoblex does to inventory at each step, what the Allocations tab shows you, and how the numbers differ between assembly and disassembly orders. After reading it you will be able to read the Allocations tab, understand why an order is waiting for stock, and know exactly how much of each product Qoblex will consume or produce when the order completes.


The Allocations tab

Open a production order and select the Allocations tab to see the stock Qoblex has reserved for it. The tab is only visible to users who have inventory access.

Each allocation row shows:

  • Product name — the component (assembly) or the finished product (disassembly) being reserved.
  • Location — the production location the stock is reserved at.
  • Status — how much of the requested quantity was reserved (see badges below).
  • Allocated Stock — the quantity Qoblex managed to reserve.
  • Description — additional detail on the allocation.

On a manufacturing order the status badge always reads Full. Starting production requires that every reservation be filled completely: if any component (assembly) or the finished product (disassembly) cannot be reserved in full, Qoblex fails the start with an out-of-stock error and saves nothing, so the order never keeps a partial reservation. As a result an order that has started always shows fully reserved rows.

The allocation engine defines other status values — Partial, Empty, and OnHold — that appear for other kinds of reservations elsewhere in Qoblex. They do not occur for manufacturing orders, because production start rejects anything less than a full reservation.

Before there is anything to show, the tab displays No allocations to show here. Allocations appear only after the order is started, and they are cleared again when the order is completed, amended, or sent back to draft.

Allocations are reservations, not stock movements. An allocation reduces how much of a product is available to other orders at that location, but it does not change your on-hand quantity. On-hand stock only changes when the order is completed.

Assembly orders

An assembly order builds the finished product by consuming its components.

When you start production, Qoblex automatically:

  • Reserves the required component stock at the production Location.
  • Reserves, for each component, its quantity plus wastage (the extra input scrapped during production is reserved too).

Because the start requires every component to be reserved in full, an order that starts is always fully reserved.

If any component cannot be fully reserved at the location, Qoblex reports the shortage and does not start the order. There is no partially-started state: either the whole reservation succeeds or the start fails and nothing is saved.

If a component no longer exists or the bill of material changed since the order was created, Qoblex stops and asks you to re-enter the finished product and try again.

When you complete production, Qoblex automatically:

  • Releases all component reservations.
  • Increases on-hand stock of the finished product by the yield quantity at the location.
  • Decreases on-hand stock of each component by quantity plus wastage minus unconsumed quantity.

If a component or the finished product has batch (lot/serial) assignments, the assigned batch quantities must match the quantity consumed or produced, or Qoblex will not complete the order.

Disassembly orders

A disassembly order breaks the finished product back down into its components.

When you start production, Qoblex automatically:

  • Reserves the finished product itself at the production location, in the quantity to produce (not the components).

As with assembly, the start requires the finished-product quantity to be reserved in full; if it is short, Qoblex reports the shortage and does not start the order.

When you complete production, Qoblex automatically:

  • Releases the finished-product reservation.
  • Decreases on-hand stock of the finished product by the yield quantity at the location.
  • Increases on-hand stock of each component by its quantity minus wastage.

Unconsumed quantity does not apply to disassembly, because nothing is being consumed. Only wastage is accounted for on the components.

Batch (lot/serial) tracking is not supported for disassembly orders. You cannot assign lots or serials to a disassembly order.

What each transition does to stock

  • Start — reserves stock at the production location (allocations only). No on-hand change.
  • Amend — releases all reservations and returns the order to draft. No on-hand change. (This is the Amend button on the production screen; the same transition is available as the Open for Edits bulk action on the manufacturing list.)
  • Cancel — releases nothing and moves no stock. Reservations from an in-production order should be released by amending the order to draft first.
  • Complete — releases all reservations, then moves on-hand stock in and out as described above. This is the only transition that changes your actual counts.

Stock availability at start

Qoblex checks availability at the production location before it lets an order start:

  • An assembly order can start only when every component’s required quantity (quantity plus wastage) can be reserved in full.
  • A disassembly order can start only when the required finished-product quantity can be reserved in full.

If any reservation would be short, the start fails with an out-of-stock error and the order stays in Draft. Free up or bring in stock at the location, then start the order again.

Troubleshooting stock availability

If an order will not start because of stock, work through the checks below.

The order will not start because of stock

Confirm the production Location first, then check availability at that location:

  • For assembly, check that each component has enough available stock (on hand minus what other orders have reserved).
  • For disassembly, check that the finished product has enough available stock.

Freeing up stock (for example, by fulfilling or cancelling other orders that hold reservations) or receiving new stock, then starting the order again, will retry the reservation.

An order that started fine will not start again after amending
Availability at a location moves as other activity happens, so an order that reserved cleanly before might no longer have enough available stock after you amend it and release its reservations. Review recent sales shipments, stock transfers, adjustments, purchase receiving, and other manufacturing orders at the same location, as any of these can change how much stock is available to reserve.
Quantities changed after I started the order
Use Amend to return the order to draft. This releases the current reservations so you can adjust quantities, then start again to rebuild the reservations against the new numbers.
Information to collect for support
If you need help, gather the manufacturing order number, production type (assembly or disassembly), location, the affected product SKU, the quantity to produce, the yield quantity, and any out-of-stock or validation message shown on screen.
