Each QuickBooks settings tab has a default ledger account, and optionally a default tracking class and tracking location, that Qoblex uses when it posts a transaction to QuickBooks. Override rules let you send specific transactions to a different account, class, or location when the defaults are not right for every record — for example posting one sales channel or one warehouse to its own account.
This article explains what an override rule does, how to add one, how rule order decides which rule wins, and how tracking classes and tracking locations fit in. After reading it you will be able to set up exceptions to your default QuickBooks mappings and understand why a transaction posted the way it did.
What a rule does
In each QuickBooks settings tab you first choose the default mapping for that area (the Ledger account, and optionally a Tracking Class and Tracking Location). A rule is an exception to that default: when a transaction matches the rule’s conditions, Qoblex applies the rule’s actions instead.
The rule builder’s Actions section (“What happens when a record matches this rule?”) offers three actions:
- Set ledger account to — the QuickBooks account or bank account the transaction posts to.
- Set tracking class to — the QuickBooks class to tag the transaction with (leave as None to set no class).
- Set tracking location to — the QuickBooks location to tag the transaction with (leave as None to set no location).
The ledger-account options depend on the tab: sales and purchases payment rules choose from your QuickBooks bank/payment accounts, while sales, manufacturing, stock-on-hand, COGS, and adjustments rules choose from the QuickBooks accounts for that area.
Where override rules are available
Override rules can be added in these QuickBooks settings tabs:
- Sales — sales posting rules, plus separate payment posting rules (“by gateway”).
- Purchases — payment posting rules (“by gateway”). The Purchases tab does not currently offer line-level purchase override rules.
- Manufacturing — manufacturing posting rules.
- Inventory — separate rule sections for the Stock On Hand, Cost Of Goods Sold, and Inventory Adjustments accounts.
Each rule section’s conditions are specific to that area. For example, the Sales rule conditions are Online store, Sales location, Shipping & Freight, Sales Channel, Tax amount applied, Order tags, Sales origin country, Sales by Product Type, Sales by product tags, and Sales by Brand; payment rules match on the Gateway (and, for sales, the Online store and Sales location); inventory rules match on Location, Online store, tags, product type, and so on.
Add a rule
- Open the QuickBooks integration settings and select the tab for the area you want (Sales, Purchases, Manufacturing, or Inventory).
- Set the default Ledger account (and Tracking Class / Tracking Location if you use them) at the top of the section first.
- In the rule section below, click Add rule. The Edit Sync Rule dialog opens.
- Under Conditions, choose a field, an operator, and a value to define which records the rule should match. Use Add Rule Part to combine a second condition with And / Or.
- Under Actions, set the ledger account, and the tracking class and tracking location if needed.
- Click Apply to add the rule to the section.
- Click Save changes at the bottom of the settings page to save the tab.
Rule order
Each rule shows a priority number, and you can move rules up or down within a section. When a transaction syncs, Qoblex checks the rules in order from the top and applies the first rule whose conditions match; it stops at that rule. So put specific rules above broad rules.
For example, a rule for one product category or one location should sit above a general sales rule. If the broad rule is higher, it matches first and the narrow rule never gets a chance to apply.
When you are checking why a transaction posted a certain way, look at the highest matching rule first.
Tracking classes and tracking locations
QuickBooks classes and locations are QuickBooks tracking categories, not Qoblex inventory locations. A Qoblex warehouse or sales location does not become a QuickBooks location on its own — Qoblex only tags a transaction with a QuickBooks class or location when you select one in the defaults or in an override rule.
The class and location dropdowns are populated from the classes and locations in your connected QuickBooks company, with a None option to apply no class or location. Use tracking classes and locations when your accounting team reports by branch, store, region, department, or operating unit in QuickBooks.
