QuickBooks Purchases Settings

The Purchases step of your QuickBooks setup controls how Qoblex posts supplier bills and bill payments to QuickBooks. It has two parts: a Purchases section that sets the default ledger account for the bills Qoblex creates from your purchase orders, and a Payments section that sets the default bank account those bill payments are paid from. Both sections also let you set an optional QuickBooks tracking class and location.

This article explains each field on the Purchases step, when the settings are required, and how Qoblex chooses the account for a posting. After reading it you will be able to set your purchase and payment defaults correctly, add payment override rules for exceptions, and recognise why a supplier-side record posted to a particular account.


Where to find these settings

You reach the Purchases settings from Integrations → QuickBooks.

  • When you first connect QuickBooks, the settings open as a setup wizard. Work through the steps (Tax Mapping → Sales → Purchases → Manufacturing → Inventory → Review & Save) and the Purchases step appears third.
  • After QuickBooks is connected, the same settings appear as tabs. Open the Purchases tab to change them at any time.

The Purchases step is the same form in both places.

What you can configure

The Purchases step has two sections.

The Purchases section (described in the form as “Purchase orders and bills.”) sets the defaults for the bills Qoblex creates in QuickBooks from your purchase orders:

  • Ledger — the default expense/ledger account a bill line posts to. The selector placeholder is Select ledger.
  • Tracking class — an optional QuickBooks class applied to the posting. The placeholder is Select tracking class.
  • Tracking location — an optional QuickBooks location applied to the posting. The placeholder is Select tracking location.

The Payments section (described as “Bill payments default account”) sets the defaults for supplier bill payments:

  • Bank — the default bank account a bill payment is paid from. The placeholder is Select bank.
  • Tracking class — an optional class for the payment. Placeholder Select tracking class.
  • Tracking location — an optional location for the payment. Placeholder Select tracking location.
  • Payment override rules — optional rules that override the default bank account, class, or location for matching payments (see Payment override rules below).

The class and location lists are populated from your connected QuickBooks company. If QuickBooks does not return any classes or locations, those selectors show only a None option, so no tracking is applied.

What is required

Two fields on the Purchases step are required:

  • the default Ledger account, and
  • the default payment Bank account.

Tracking class and tracking location are always optional. If you leave the ledger or bank empty, saving is blocked with Ledger account is required or Bank account is required.

Set the ledger and bank accounts in QuickBooks first. The selectors only list accounts that already exist and are active in your connected QuickBooks company, so a missing account must be created in QuickBooks before it can be chosen here.

Saving

In the connected Settings view, click Save changes to save the Purchases tab. During first-time setup, your choices are saved when you finish the wizard on the Review & Save step. Qoblex validates the required fields across the whole configuration before it saves.

Saving changes the rules for future postings only. It does not rewrite bills or payments that have already synced to QuickBooks.

How Qoblex chooses the account

When a purchase order syncs, Qoblex creates a bill in QuickBooks and posts each line to an account; supplier payments on that bill post to a bank account. Bill lines always use the defaults you set here. For bill payments, Qoblex first checks your payment override rules and, only if none match, falls back to the default payment account:

  • Every bill line posts to the single default Ledger account, with the default tracking class and location. There are no per-bill-line override rules in the Purchases settings; override rules apply only to bill payments.
  • Bill payments use the default payment Bank account (and the default payment tracking class and location) unless a payment override rule matches.

If you leave the default ledger or bank set to Do Not Sync, that part of the purchase is not posted: the sync still runs, but with no account to post to it produces no posted bill lines or payment.

Payment override rules

Under the Payments section you can add rules that override the default bank account, class, or location for specific bill payments. Use them when some supplier payments should be paid from a different bank account than the default.

When no rules exist the section shows No added rules. Adding one opens the Edit Sync Rule builder:

  • Conditions — define what triggers the rule. For purchase payment rules the only available condition field is Gateway (the payment gateway/method on the payment). You can add up to two condition parts joined by And or Or.
  • Actions (“What happens when a record matches this rule?”) — choose Set ledger account to (a bank account), and optionally Set tracking class to and Set tracking location to.

Click Apply to save the rule, then Save changes to save the settings.

Keep the common case in the default bank account and add rules only for the exceptions. The first rule that matches a payment wins, so fewer, specific rules are easier to reason about than many overlapping ones.

What you see after syncing

When a purchase order syncs, Qoblex posts an activity-feed notification for each record, for example “Bill for purchase order number synced to QuickBooks” and “Payment for purchase order number synced to QuickBooks”, each with a link to open the record in QuickBooks. To review and retry supplier-side records, open Sync Status and filter to Bills or Bill Payments.

Troubleshooting

Save changes is blocked
The default ledger or bank account is missing. Qoblex shows Ledger account is required or Bank account is required. Select a value for both; if the account you need is not in the list, create or activate it in QuickBooks first, then reopen the settings.
The class or location list shows only None
The class and location selectors are filled from your connected QuickBooks company. If QuickBooks does not return any classes or locations, the selectors show only a None option, so no tracking is applied. Confirm that class and location tracking are turned on in QuickBooks, then reopen the settings.
A bill payment posted to the wrong bank account
A payment override rule probably matched. Check your payment override rules before changing the default bank account, because a matching rule overrides the default bank, class, and location.
A purchase still fails to sync after saving
Open Sync Status, read the latest error on the failed row, and confirm the tax mappings, the supplier details, and the source purchase data. If the error changed after you saved, follow the new error rather than repeating the previous fix.
