QuickBooks Sync Status and Manual Sync

The Sync Status tab in your QuickBooks integration settings lists the transactions Qoblex sends to QuickBooks and shows, for each one, whether a matching QuickBooks document exists. From the same screen you can select transactions and push them again with Sync to QuickBooks — useful after you first connect QuickBooks, after you correct a transaction that failed to sync, or whenever you want to re-send specific records.

This article explains how to read the Sync Status list, how to filter it, and how to manually re-sync selected transactions. After reading it you will be able to confirm which transactions have reached QuickBooks, open the linked QuickBooks document, and re-push the records that have not synced.


Open Sync Status

  1. Go to Integrations.
  2. Open your QuickBooks integration.
  3. Open the Sync Status tab.

Sync Status is the last tab in QuickBooks settings, alongside Sales, Purchases, Manufacturing, Inventory, and Tax mappings.

Read the transaction list

Each row is one Qoblex transaction. The list shows these columns:

  • a selection checkbox
  • Number — links back to the matching Qoblex transaction
  • Created At
  • Type — the transaction type (see the filter list below)
  • Status — the transaction’s status, shown as a coloured badge
  • QuickBooks link — opens the synced QuickBooks document when one exists

The list is paginated, and the date filter defaults to the last 30 days through today, so a row you are looking for may be on a later page or outside the current date range.

If a row shows a warning triangle in the QuickBooks link column instead of a link, hover it to see “No corresponding document in QuickBooks” — that transaction has not yet synced. A row that has synced shows the QuickBooks link with a “Transaction Synced” tooltip.

When a row has not synced, open the Qoblex transaction from its Number link and check it there. Most fixes happen on the source transaction or in your QuickBooks settings (account mappings, tax mappings, classes, locations), not in the Sync Status list itself.

Filter the list

Open the filters to narrow the list by:

  • Type — the transaction type. The available types are Bill Payments, Bills, Invoices, Payments, and Sale Refunds. The list opens filtered to Invoices by default.
  • Created At — a date range. Defaults to the last 30 days through today.
  • Failed transactions only ? — a toggle between All transactions and Only Failed Transactions, described as “Narrow down the report to transactions that failed to sync”.

On this Sync Status screen the Failed transactions only ? toggle does not currently change which rows are listed — switching it to Only Failed Transactions returns the same list. To find records that have not synced, scan the QuickBooks link column instead: a row with a warning triangle (rather than a link) has not yet reached QuickBooks.

Sync selected transactions

  1. Tick one or more rows in the list. The selected count is shown above the list (for example “3 rows selected”).
  2. Click Sync to QuickBooks.
  3. Wait for the confirmation or error message.

When the push is accepted, Qoblex shows: “Selected items have been pushed to QuickBooks. Please check the activity feed for more details”. Open the Activity Feed afterwards to see the detailed outcome for each transaction — a push can still produce record-specific warnings or errors that are reported there rather than on this screen.

Selecting a row and clicking Sync to QuickBooks re-sends that transaction to QuickBooks. If a row cannot be pushed, review the source transaction and your QuickBooks settings before retrying — re-syncing the same transaction will fail again until the underlying problem is fixed.

Troubleshooting

No transactions selected. Please select at least one transaction to sync
You clicked Sync to QuickBooks without ticking any rows. Select at least one row in the list, then click Sync to QuickBooks again.
A QuickBooks link already exists for the row
The transaction has already synced. Open the linked QuickBooks document from the QuickBooks link column and review it there before re-syncing, so you do not create duplicate work.
“No corresponding document in QuickBooks” on a row
That transaction has not synced yet. Open the Qoblex transaction from its Number link, confirm it is valid, then select the row and use Sync to QuickBooks. If it still does not appear in QuickBooks, check the Activity Feed for the specific error.
“Ouch! We encountered a problem while trying to sync data to QuickBooks”
The push could not be completed. Confirm QuickBooks is still connected, then review your account mappings, tax mappings, payment settings, and any class or location rules, as well as the source transaction. Fix the cause, then re-select the rows and sync again. Check the Activity Feed for the detailed reason.
