This article helps you resolve the most common QuickBooks problems in Qoblex: settings that will not save, missing accounts or taxes, and transactions that do not reach QuickBooks. It walks through what each error means and the exact field or mapping to check.
After reading it you will know how to read the Sync Status tab, fix the validation messages Qoblex shows on the settings tabs, and decide what to collect before contacting support.
Where to look
Open Integrations, then QuickBooks. A connected QuickBooks integration shows six tabs: Sales, Purchases, Manufacturing, Inventory, Tax mappings, and Sync Status. The first five hold the account, tax, and rule settings; Sync Status lists each transaction Qoblex has tried to send and its result.
If you instead see the connection wizard (the Tax Mapping → Sales → Purchases → Manufacturing → Inventory → Review & Save steps), the integration is still being set up and the settings tabs are not available yet. Finish the wizard and save to switch QuickBooks into its normal configured view.
What blocks Save changes
When Save changes does not go through, Qoblex shows the message for the first required field it finds. Check the tab named in the message:
- Sales — a ledger account and a payment bank account are required. Missing them shows Ledger account is required or Bank account is required.
- Purchases — a ledger account and a payment bank account are required (same messages as Sales).
- Inventory — the Stock On Hand, Cost Of Goods Sold, and Inventory Adjustments accounts are each required, shown as SOH Account is required, COGS Account is required, and Adjustments Ledger Account is required.
- Tax mappings — at least one complete mapping row is required (see the next section).
The tracking class and location selectors are optional everywhere; leaving them on None never blocks a save.
Tax mapping rules
The Tax mappings tab pairs each QuickBooks tax with a Qoblex tax name. Qoblex validates the whole table and shows one message at a time:
- Each row needs a Qoblex tax name and a QuickBooks tax rate. — every row must have both sides filled, and there must be at least one row.
- Each QuickBooks tax can only be used once. — the same QuickBooks tax is mapped on two rows.
- Each Qoblex tax can only be used once. — the same Qoblex tax is mapped on two rows.
- Sales tax can’t be mapped to a purchase tax and vice versa — a row pairs a sales tax with a purchase tax. Map sales taxes to sales taxes and purchase taxes to purchase taxes.
Use Add mapping to add a row. If no taxes are listed yet, the table shows No added taxes !.
Where tracking classes and locations come from
The class and location dropdowns are populated from the connected QuickBooks company. Each dropdown always offers None plus whatever classes or locations QuickBooks returns. If a class or location is missing from the list, add or activate it in QuickBooks first, then reopen the QuickBooks settings page so Qoblex reloads the company data.
Reading the Sync Status tab
Open the Sync Status tab to see what Qoblex has sent. Each row shows Number, Created At, Type, Status, and a QuickBooks link to open the matching record in QuickBooks. The Type is one of Invoices, Bills, Payments, Bill Payments, or Sale Refunds — these are the only transaction kinds Qoblex syncs to QuickBooks.
To retry, tick one or more rows and click Sync to QuickBooks. Use the filters at the top of the table to narrow by Created At date range or transaction Type.
Reconnecting QuickBooks
If the connection to QuickBooks has gone stale, the QuickBooks page shows Oops! It looks like we couldn’t connect to your QuickBooks account. with a Click here to restore the connection link. Follow that link to re-authorize Qoblex with QuickBooks; your settings are kept.
To remove the integration entirely, use the disconnect control at the bottom of the settings page. If the disconnect fails, Qoblex shows Failed to Disconnect QuickBooks — try again, and re-authorize first if the connection is stale.
Troubleshooting
Before contacting support
Collect:
- the connected QuickBooks company name
- which tab you were on (Sales, Purchases, Manufacturing, Inventory, Tax mappings, or Sync Status)
- the transaction Number, Type, and Status from the Sync Status row
- the exact on-screen message
- the account, bank, class, location, or tax mapping involved
- the most recent setting change you made before the problem started
