08. Custom Reports

A custom report saves the view you have built on a Sales, Purchases, or Inventory report – your filters, grouping, sorting, and visible columns – as a named tab you can reopen any time. It saves the configuration, not a snapshot of the figures, so the report always reruns against current data.

This article explains what Qoblex stores in a custom report, where saved reports appear, and how to save, update, rename, and delete them. After reading it you will be able to keep a reusable report view for your team and know exactly which parts of the screen are remembered.

Custom reports require a Business or Scale subscription plan. On other plans the save form opens but stays read-only, with a banner explaining the feature is only available on Business and Scale.


Where custom reports live

Custom reports belong to one reporting area and stay there. A report you save in Sales appears only under Reporting > Sales, a Purchases report only under Reporting > Purchases, and an Inventory report only under Reporting > Inventory. They do not move between areas.

Each saved report appears as its own tab after the built-in report tabs in the same area. Open the tab to rerun that saved view against the latest data.

Reporting and its Sales, Purchases, and Inventory areas only appear for users whose role grants the matching reporting permission. If you do not see Reporting or one of its areas in the sidebar, ask an administrator to grant your role access to that area.


What Qoblex saves

When you save (or update) a report, Qoblex stores the current configuration of the grid:

  • The report type of the tab you are on (for example a sales, purchases, or inventory report type) – this fixes which base report the saved view reruns.
  • The filters you have applied (both the dimension filters such as location or channel, and the number/amount filters).
  • The grouping – the first active grouping value.
  • The sorting – the active sort.
  • The visible columns – which columns are currently shown.

It does not store the rows or totals themselves. Reopening a saved report reruns it with the same type, filters, grouping, sorting, and columns against your current data, so the figures are always up to date.

At least one of grouping, sorting, columns, or filters must be set for a report to save. Qoblex only offers the save action once you have changed the view, and the server rejects an empty configuration.


How to save a custom report

The Save Report action (a starred link) appears on a base report only after you have changed the view – applied a filter, grouping, sort, or column change. If nothing has been changed there is nothing to save, so the action is hidden.

  1. Open a Sales, Purchases, or Inventory report.
  2. Apply the filters, grouping, sorting, and columns you want to reuse.
  3. Select Save Report.
  4. In Report name, type a name (the field shows the placeholder Enter report name). A name is required.
  5. Review the grouping, sorting, and filters shown in the dialog – these are what will be stored.
  6. Select Save Report to confirm.

While the report saves, the button reads Saving… and is disabled. On success the dialog closes and the new report appears as a tab in the same area.

Report names must be unique within the area. If a report with the same name already exists, Qoblex rejects the save with the message A report named ‘‘ already exists. Leading and trailing spaces are trimmed, and the check ignores letter case.


How to update a custom report

Updating overwrites the saved configuration with whatever the grid shows now. Open the saved report, adjust it, then save the change.

  1. Open the saved report tab.
  2. Change the filters, grouping, sorting, or columns.
  3. Select Edit Report.
  4. Confirm or change the Report name.
  5. Review the grouping, sorting, and filters shown in the dialog.
  6. Select Save Report to confirm.

Edit Report appears only on a saved report tab, and only once the view has an active filter, grouping, sort, or column change. It replaces the saved definition with the current grid state, so the report now reopens with the new configuration. The same unique-name and required-name rules apply as when saving.

Updating replaces the entire saved configuration, not just the part you changed. If an update captures more than you intended, reopen the base report, rebuild the view you want, then edit the report again.


How to rename a custom report

The report name is just the Report name field in the edit dialog, so renaming uses the same flow as an update.

  1. Open the saved report tab.
  2. Select Edit Report.
  3. Change Report name.
  4. Select Save Report.

The new name becomes the tab label. Renaming saves the current grid configuration as well, so if you only want to change the name, do it without altering the filters, grouping, sorting, or columns first.


How to delete a custom report

  1. Open the saved report tab.
  2. Select Edit Report.
  3. Select Delete.
  4. In the confirmation dialog – titled Confirm Deletion of “” report – confirm by selecting Delete.

The dialog asks Are you sure you want to delete the report ““? and warns This action cannot be undone and the report will be permanently removed.

After deletion Qoblex closes the edit and delete dialogs and returns you to the first built-in report tab in that area.

Deleting a custom report is permanent and cannot be undone. The saved configuration is removed; only the saved view is deleted, never any underlying data.


Troubleshooting

The Save Report action is missing
The save action only appears once you have changed the report view – applied a filter, grouping, sort, or column change. From a clean base report there is nothing to save, so the action is hidden. Adjust the view first.
Saving is disabled and a banner mentions Business and Scale
Custom reports require a Business or Scale subscription plan. On other plans the save form opens but stays read-only with the banner This feature is only available on Business & Scale plans. Upgrade your plan to save custom reports.
The save form never becomes editable
Qoblex could not load your subscription plan, so it cannot confirm eligibility. It shows a loading placeholder and the message Failed to fetch your subscription plan. Refresh the page and try again; if it persists, contact support.
Qoblex says the report name already exists
Report names must be unique within the area, ignoring case and surrounding spaces. Choose a different name, or open the existing report and update it instead of creating a new one.
The report name field shows a required-field error
A report name is required. The field shows This field is required until you enter a name.
A saved report opens with unexpected rows
A custom report stores filters, not data. If the rows look wrong, check the saved filters – the report may carry filters from when it was first built (for example a specific date range or location) that are no longer obvious. Open Edit Report to review the filters, then update or recreate the report.
Saving, updating, or deleting failed
Qoblex shows the message returned by the server when one is available; otherwise it shows Failed to save the custom report. (save and update) or Failed to delete the custom report. (delete). Retry the action; if it keeps failing, contact support with the report name and the reporting area.
The custom report list failed to load
If Qoblex cannot fetch the saved reports for an area it shows Failed to fetch custom reports. Refresh the page; if the error continues, contact support with the affected reporting area.
