09. Exporting Reports

Exporting takes the report you are looking at — with your current filters, grouping, sorting, and hidden columns — and turns it into a CSV file you can open in a spreadsheet. Qoblex prepares the file in the background and emails you a download link when it is ready, so you do not have to wait on the screen.

After reading this article you will be able to start an export from any report, set the date range when one is needed, understand the confirmation message and the one validation Qoblex enforces, and know how the finished file reaches you.


How to export a report

The Export button sits in the toolbar above every report’s data grid (on both standard and saved custom reports).

  1. Open the report you want and apply the filters, grouping, sorting, and column visibility you want the export to use.
  2. Click Export. The Export Report dialog opens.
  3. If a Pick a date range picker appears, choose the date range for the export (see below).
  4. Click the dialog’s confirm button to start the export.

Qoblex closes the dialog and starts preparing the file in the background. The export always produces a CSV file — there are no other formats.

The export uses the report exactly as it is set up when you click confirm: report type, filters (both the dimension filters and the number/amount filters), grouping, sorting, and hidden columns. Set the report up first, then export — the export is the final copy of a report you have already reviewed on screen, not the place to check filters for the first time.

While an export request is being sent, the Export button is disabled and shows a loading state. This only covers sending the request; once Qoblex accepts it, the work continues in the background and the button returns to normal.


Setting the date range

Most reports ask for a date range before exporting. When they do, the Export Report dialog shows a Pick a date range picker.

  • If the report already has a date filter applied, Qoblex pre-fills the picker with that range.
  • If it does not, Qoblex pre-fills the last six months — from the first day of the month six months ago through to the end of today.

Whatever you pick in the dialog replaces the report’s date filter for this export.

These reports do not show the date-range picker (they export without a date range):

  • Customer Aging
  • Supplier aging
  • Stock Allocations
  • Stock Movement
  • Stock on Hand

For reports that do use a date range, Qoblex applies your chosen range to the date column that matters for that report:

  • Sales by Product, Sales Details, and Purchase by Product use the created date.
  • Purchase Details uses the created on date.
  • Shipments uses the shipment date.
  • Refunds uses the refund date.
  • Invoices uses the invoice date.
  • Received goods uses the received date.
  • Bills uses the bill date.
  • Any other date-using report applies the range to its created date.

The date range must be less than one year. If you pick a range longer than that, Qoblex rejects the export and shows “The date range must be less than one year old” in the dialog. Narrow the range and try again.


Hidden columns

The export keeps the report’s current hidden-column setup: any column you have hidden on screen is left out of the CSV. If a column should not appear in the file you share — for example before sending it outside your team — hide it on the report before you export, and double-check the date range and filters so the file does not include records you did not intend to share.


What the confirmation says, and how you get the file

After you confirm, the dialog shows this message:

The report is being exported in the background. This might take several minutes depending on the amount of data to export. We will send you an email with a download link when the export has completed.

Qoblex runs the export as a background job, so the file is not downloaded straight from your browser. When the job finishes, Qoblex emails the person who started the export a link to download the CSV. Larger exports take longer because there is more data to gather.

There is no row limit on an export — large reports are not blocked, they simply take longer to prepare. The only limit Qoblex enforces is the one-year date-range cap above.

If the export cannot be started, the dialog stays open and shows the reason at the top so you can adjust and retry. Closing the dialog clears any error; reopen Export to try again after changing the report setup.


Who can export

The Export button appears on a report only if you can open that report. The Sales, Purchases, and Inventory report areas are each gated by their own permission, so if your role does not include a reporting area, that area’s reports — and their Export buttons — are not available to you. Ask an administrator to grant the relevant Reporting permission if you cannot see a report you need to export.


Troubleshooting

The Export button is greyed out
The button is disabled only while it is sending an export request — it shows a brief loading state, then returns to normal once Qoblex accepts the request and continues in the background. If it stays disabled, refresh the report and try again.
Qoblex says “The date range must be less than one year old”
Your selected range is one year or longer. Qoblex only exports ranges shorter than a year. Narrow the range in the Pick a date range picker (or in the report’s date filter) and export again.
The export dialog shows an error and stays open
The export could not be started. Read the message at the top of the dialog, adjust the date range or report setup, and confirm again. If it keeps failing, narrow your filters, then contact support with the report area and name, the date range, your active filters, grouping and sorting, and the approximate time you tried.
The export was accepted but no email arrived
The file is emailed only when the background job finishes, which can take several minutes for large reports. Wait, then check your email address on file and your spam folder. Avoid starting the same export repeatedly while you wait.
The exported figures do not match what I saw on screen
The export uses the report setup as it was at the moment you clicked confirm. If you changed filters, grouping, sorting, or columns after starting the export, the file reflects the earlier setup. Re-run the export from the report as it is now.
A column I expected is missing from the file
Hidden columns are left out of the export. Unhide the column on the report, then export again.
