ShipStation troubleshooting

This article covers the most common problems you may hit when connecting ShipStation and when sending orders to it, and how to fix each one. After reading it you will know how to get past a failed connection test, restore the missing Send to Shipstation action, and understand what to do when some orders do not arrive in ShipStation.

Test Connection fails or the API key will not save

The ShipStation integration uses the ShipStation V2 API Production Key. If the key is wrong, blank, or left as the masked placeholder, the connection cannot be established.

  1. In ShipStation, open your account settings, go to API Settings, select V2 API from the dropdown, and copy your Production Key.
  2. In Qoblex, open the ShipStation settings page and choose Set API Key (or Update API Key if a key already exists).
  3. Paste the full key, then choose Test Connection. A working key shows Connection test successful; a bad key shows Connection test failed.
  4. When the test succeeds, choose Save changes.

If saving is blocked with Please enter an API key, the field is either empty or still shows the masked value from a previously saved key. Once a key is saved it is stored securely and shown masked when you reopen the dialog, so retyping the masked dots does not count as a new key. Paste the full Production Key again to save a change.

I do not see the Send to Shipstation action

The Send to Shipstation action appears in the Sales > Orders list (under Actions) only when the ShipStation integration is connected. If you do not see it:

  • Open the ShipStation settings page and confirm the integration is connected and your API key is set.
  • Confirm your user has the ShipStation integration permission. Without it, the ShipStation settings and actions are not available to you.

Once the integration is connected, reload the Sales > Orders list and Send to Shipstation will be listed under Actions.

When you open the Send to Shipstation dialog, Qoblex loads your saved defaults and the carrier list from ShipStation. If it cannot reach ShipStation, the dialog shows Failed to load Shipstation settings. Please try again. and the carrier choices may be missing.

  • Close the dialog and open the ShipStation settings page.
  • Choose Test Connection to confirm the connection still works; re-enter your Production Key if the test fails.
  • Return to the Sales > Orders list, reopen Send to Shipstation, and try again.

Carrier, Service, and Package are required to send, so you cannot send until the carrier list loads.

Some orders were not sent to Shipstation

When you send a batch, each order is pushed to ShipStation on its own. If ShipStation rejects one order (for example, a missing or invalid shipping address or shipping details), only that order fails; the rest of the batch still goes through.

  • Check the activity feed for the result of the send. Failures are reported there per order.
  • Fix the flagged order (correct the shipping address or shipping details), then select it again and choose Send to Shipstation to resend.

Resending an order updates the same shipment in ShipStation rather than creating a duplicate, so it is safe to retry a failed order.

The orders are not in Shipstation yet

Sending runs in the background. Right after you send, you will see the toast {count} order(s) are being sent to Shipstation in the background and the note Orders are being sent to Shipstation. The results will appear in the activity feed as soon as the operation is complete.

  • Wait for the operation to finish, then check the activity feed for the outcome.
  • Refresh the Sales > Orders list to see the updated status.

The orders appear in your ShipStation account once the background send completes. You then buy labels and ship the orders inside ShipStation.
