06. Invite a Partner

A partner is an outside person — typically your accountant, bookkeeper, or consultant — who works inside your organization as a team member. Inviting a partner sends them an email invitation; once they accept, they can switch into your organization from their own Qoblex account.

This article explains where the Invite Partner button lives, what the invitation dialog asks for, and what happens after a partner accepts. After reading it you will be able to send a partner invitation, read the on-screen result, and understand how partner access differs from a regular user.


How inviting a partner is different from creating a user

Both options live in the Users screen, but they do different things:

  • Create User adds an employee or team member to this organization. You set their name, timezone, and a full permissions matrix in that flow.
  • Invite Partner invites an outside person to join your organization as a team member. The dialog asks only for their email — there is no name, timezone, or permissions step.

For employees and internal staff, use Create User (see Create and invite a user). Use Invite Partner for an external accountant or consultant who should be able to move between their own account and yours.

Inviting a partner adds a user to your organization, so it counts against your plan’s user allowance the same way creating a user does. If your subscription has no room for another user, Qoblex blocks the invitation and shows the licensing message it returns.


How to invite a partner

  1. Open Users from the main navigation.
  2. In the header, next to Create User, click Invite Partner. Qoblex opens the Invite Partner dialog, which reads Enter the email address of the partner you want to invite.
  3. In the email field — which shows the placeholder Partner Email Address — type the partner’s email. It is required and must be a valid email address.
  4. Complete the CAPTCHA verification in the dialog. The Invite button stays disabled until the CAPTCHA is solved.
  5. Click Invite.

When the invitation is accepted for sending, Qoblex shows Invitation successfully sent to followed by the email address, closes the dialog, and clears the form.

Use the partner’s own email address rather than a shared mailbox. The invitation and the resulting partner account are tied to the address that receives and accepts it, which keeps later access reviews clear.


What happens after you send the invitation

Qoblex creates the partnership in the background and emails an invitation link to the address you entered:

  • If the email is new to Qoblex, Qoblex creates a pending account for the partner and sends them a sign-up invitation. They set up their account from the link and then have access to your organization.
  • If the partner already has a Qoblex account, Qoblex sends a partnership invitation. When they open the link they are pointed at your organization and can switch into it from their existing account.

Once a partner accepts, they join your organization as a team member. Partners can belong to more than one organization at the same time and switch between them from their own account; accepting your invitation does not remove them from any organization they already work with.

Tell the partner which email address received the invitation and ask them to accept it while signed in with that same address. If they are already signed into a different Qoblex account, they may need to sign out first or use a separate browser profile.


If the invitation fails

If the invitation cannot be sent, Qoblex shows the message returned by the server when one is available — for example a licensing message when your plan has no room for another user. If no specific message is returned, it shows Failed to send an invitation to followed by the email address, or An error occurred while inviting the partner.

How the form behaves afterwards depends on the kind of failure. If the request errors out — the An error occurred while inviting the partner. message — Qoblex clears the CAPTCHA but keeps the email in the field, so you solve the CAPTCHA again and retry without re-typing the address. If the server reports a specific reason instead, such as the licensing message, the dialog is left as it is — your email and a solved CAPTCHA both stay in place — so you can adjust and retry.


Troubleshooting

The Invite button is greyed out
The Invite button is disabled until the CAPTCHA in the dialog is solved. Complete the CAPTCHA, and make sure the Partner Email Address field contains a valid email address.
I got “An error occurred while inviting the partner.”
This is the generic failure message Qoblex shows when the request did not complete. Confirm the email address is valid, solve the CAPTCHA again, and retry. If it keeps failing, capture the company, your own email, the partner’s email, and the time of the attempt so support can look into it.
I got a message about my plan or user allowance
Inviting a partner counts as adding a user, so it is checked against your subscription. If your plan has no room for another user, Qoblex returns the licensing message instead of sending the invitation. Free up a user seat or upgrade your plan, then invite the partner again.
I sent it to the wrong email address
Send a fresh invitation to the correct address rather than asking the wrong recipient to forward the email. The invitation is tied to the address that receives it, so forwarding it leads to confusion over which account should accept.
The partner says they never received the email
Confirm the address was spelled correctly, then ask the partner to check their spam, quarantine, or mail-filtering folders. If it is still missing, send the invitation again to the same address.
The partner cannot accept the invitation
Ask them to open the link while signed in with the same email address that received it. If they are signed into a different Qoblex account, have them sign out first or use a separate browser profile. If the link no longer works, it may have already been used — send a new invitation.
