Use this guide when adding users, sending invitations, editing access, or deleting a user does not behave the way you expect. Most issues come down to one of three things: the permissions a user has been given, whether an invitation has been accepted, or the CAPTCHA check that protects every invite.
After reading this article you will be able to recognise the most common Users and Permissions problems by the message or behaviour you see on screen, understand why each one happens, and take the right step to resolve it.
Changing a user’s permissions is usually safer than deleting and recreating the account. Delete a user only when that person should no longer exist in your organisation at all.
Troubleshooting
A user cannot see a module, menu, or action
The signed-in user is missing the permission for that area. Open Users, open the affected user, and grant the relevant permission in the Permissions section, then Save. If you grant a permission and it still does not appear, check the parent group above it: turning a parent permission off forces every permission beneath it off, so a child stays unavailable until its parent is allowed again. Note that some areas also depend on your subscription (for example Batches & Serials needs the Lot, Serial and Expiry Date feature), so a missing module can be a plan limit rather than a permission.
The whole Users page and toolbar are missing
You do not have View permission on the Users resource. When that permission is absent, Qoblex hides the entire Users header, including the search box, the Invite Partner button, and the Create User button. Ask an administrator who already manages users to grant you View access to Users.
A user shows “This user has not joined yet”
That badge appears on a user who was created but has not yet accepted their invitation. Open the user from the Users list, then use the Reinvite User button on their profile to send the invitation again. You must complete the CAPTCHA check shown above the button before Reinvite User becomes active.
A user’s email shows “Email is not verified yet !”
The verification icon next to an email turns muted with the tooltip Email is not verified yet ! until that person verifies their email address. This clears on its own once the user verifies their email; it is not something you fix from the Users screen. A verified address instead shows This user email is already verified.
You cannot change a user’s email address
This is by design. On the Update User sheet the email field is locked, and the Change your email link only shows a tooltip explaining the workaround. To move a user to a new email: add a new user with the new email, have them accept the invitation and join the organisation, then delete the old user once the new account works.
[!important] Existing user emails can never be edited in place. Always create the new user and confirm it can sign in before deleting the old one.
There is no Delete button on a user’s sheet
You are looking at your own account. Qoblex hides Delete on the currently signed-in user so you cannot remove your own access by accident. Ask another administrator to delete the account for you.
The Save button is greyed out when creating or inviting a user
The Save button on the Create User sheet stays disabled until you complete the CAPTCHA verification. Complete the CAPTCHA challenge and the button becomes active. The same applies to Invite Partner — its Invite button is disabled until CAPTCHA is completed. If you also see Please complete the CAPTCHA verification when you submit, the token was not captured; complete the check again.
You saved a user who has no permissions
If no permissions are selected, Qoblex warns: This user will have no permissions in Qoblex. They won’t be able to see or do anything until they are assigned permissions. You can still confirm and save, but that person will not be able to work until you open them again and assign permissions. Pick permissions that match their role before saving.
An invitation failed to send
For a team-member invite, Qoblex shows Failed to send invitation. Please try again. For a partner invite, it shows Failed to send an invitation to followed by the email (or the specific message the server returned). Confirm the email address is valid, complete a fresh CAPTCHA check, and try again. A failed attempt clears the CAPTCHA token, so you must complete the verification again before retrying.
Qoblex says “Please enter a valid email address”
The address you typed is not a valid email. Check for typos, a missing domain, or extra spaces, and enter the address the person will actually use to sign in.
