Xero Sync Status and Manual Sync

The Sync Status tab in your Xero settings lists the Qoblex transactions that sync to Xero, shows whether each one reached Xero, and lets you push selected transactions to Xero on demand. Use it to confirm that a sale, refund, purchase, or adjustment has a matching document in Xero, to open the linked Xero record, and to retry transactions that failed to sync after you have corrected the source document or your Xero mappings.

After reading this article you will be able to open Sync Status, filter the list to find failed or unsynced transactions, read what each column tells you, and manually re-sync one or more selected transactions to Xero.

Sync Status appears as a tab inside your Xero integration settings. It is available only when the Xero integration is installed and connected.


Open Sync Status

  1. Go to Integrations.
  2. Open your Xero integration.
  3. Open the Sync Status tab.

The list loads with a placeholder table while Qoblex fetches the rows. By default it shows Sales transactions created in the last 30 days through today, with the failed-only filter turned off.

Read the transaction list

Each row is one Qoblex transaction. The columns are:

  • Id — the transaction’s Qoblex number. It links to the source document (sale order, purchase order, or adjustment) so you can open it directly.
  • Created At — when the transaction was created.
  • TypeSales, Sale Refunds, Purchases, Adjustments, or Supplier Refunds.
  • Status — the transaction’s document status (for example Open, Received, Approved, Completed, Authorized, or Draft), shown as a coloured badge.
  • Sub Total, Tax, Total, Cost — the transaction’s monetary values.
  • Xero link — the linked Xero document(s). A synced document shows as a clickable link (tooltip Transaction Synced) that opens the record in Xero in a new tab. A document that failed to sync shows an orange warning icon (tooltip Batch Sync Failed). When there is no Xero document yet, the column shows an orange warning icon with the tooltip No corresponding document in Xero.
  • Journal Sync — whether the transaction’s journal entry exists in Xero. A linked or completed journal shows the journal reference or a green check (tooltip Transaction Synced to journals); if no journal exists, an orange warning icon shows with the tooltip No journal entry found.

Open the source document from the Id link when a row fails. Most fixes are made on the source document in Qoblex or in your Xero mapping settings, not on this page.

Filter the list

Open the filters from the Sync Status toolbar to narrow the list by:

  • Type — pick the transaction type to view: Sales, Sale Refunds, Purchases, Adjustments, or Supplier Refunds. The list shows one type at a time, even though the control lets you pick from the list.
  • Created At — a date range. The default range is the last 30 days through today.
  • Failed transactions only ? — a toggle that switches between Only Failed Transactions and All transactions. Its tooltip reads Narrow down the report to transactions that failed to sync. The default is All transactions (failed-only off).

Switch on Only Failed Transactions when troubleshooting. Leave it on All transactions when you are checking whether a transaction already has a Xero link.

The list is paged 50 rows at a time. Use the pagination controls below the table to move between pages when more rows are available.

Sync selected transactions to Xero

  1. Select one or more rows using the checkboxes. The toolbar shows how many rows are selected.
  2. Click Sync to Xero.
  3. Wait for the result message. The button shows a loading state while the selected rows are pushed.

On success, Qoblex clears your selection and shows Selected items have been pushed to Xero. Please check the activity feed for more details.

Sync to Xero pushes sales, refunds, and purchases. Selecting an Adjustments row and clicking Sync to Xero does not push that transaction type through this action.

Because the push is processed in the background, open the Activity Feed after a manual sync to confirm the detailed outcome. A successfully submitted push can still report warnings or errors while Xero processes it.

When a sync fails

If a push fails, Qoblex shows the error returned by the sync operation when one is available; otherwise it shows the generic message Ouch! We encountered a problem while trying to sync data to Xero. Correct the source document, the account or tax mapping, or the sync rule that caused the failure, then select the row again and retry.


Troubleshooting

Qoblex says no transactions are selected
You clicked Sync to Xero without selecting any rows. Tick at least one row’s checkbox first. Qoblex shows the message No transactions selected. Please select at least one transaction to sync.
The Xero link column shows a warning icon
An orange warning icon with No corresponding document in Xero means the transaction has not been created in Xero yet. Select the row and click Sync to Xero to push it, then check the Activity Feed for the result.
A document shows “Batch Sync Failed”
The transaction reached Xero but a document in the batch failed to sync. Open the source document, review the Xero account, tax, and rule mappings, correct the problem, then select the row and retry.
The Journal Sync column shows “No journal entry found”
No journal entry has been created in Xero for that transaction yet. Confirm the transaction itself has synced (its Xero link column shows a link), then re-sync if needed and check the Activity Feed.
A retry still fails
Read the latest error message, then review your Xero tax mappings, account mappings, and sync rules, the source document’s data, and that the Xero connection is still active. Fix the underlying cause before retrying.
