01. Contacts Overview

Contacts stores the customer and supplier records used throughout Qoblex. A contact record can be used on sales orders, purchase orders, imports, B2B portal invitations, reports, and other operational workflows that need a customer or supplier.

Keep contacts accurate because many workflows copy or depend on contact details. Address, tax, payment, currency, price list, and contact-person changes can affect future documents and portal behavior.


Contact Types

Contacts are separated by type:

  • Customers are managed from the Customers page. They are used for sales workflows and B2B portal workflows.
  • Suppliers are managed from the Suppliers page. They are used for purchasing workflows.

The customer and supplier pages have separate lists and separate import actions. Opening a record from either list shows the same contact editor, with fields displayed according to whether the contact is a customer or supplier.

Create the contact in the correct list. A customer is used on sales workflows; a supplier is used on purchasing workflows. If a company is both a customer and a supplier, review whether the business should maintain both records according to its operating process.

What You Can Manage

From Contacts, you can:

  • Search customer and supplier lists by company name.
  • Create a new customer or supplier.
  • Import customers or suppliers from a CSV file.
  • Import customers or suppliers from Xero when the Xero integration is installed.
  • Open an existing contact and update company details.
  • Upload or remove a contact logo.
  • Add, edit, delete, and review contact addresses.
  • Mark customer addresses as default shipping or default billing addresses.
  • Add, edit, and delete people on the contact record.
  • Set account manager, business type, tax class, payment terms, discounts, price list, and notes.
  • Delete one contact from the contact editor.
  • Delete multiple customers or suppliers from their list.
  • Invite selected customers to the B2B portal when B2B is installed.
  • Invite sale agents to selected B2B customer accounts when B2B is installed.
  • Assign selected customers to a customer group when B2B is installed.
  • Remove sale agents from an existing customer record.

Customer-Specific Fields

Customer records can show:

  • B2B invitation status on the Customers list.
  • Customer groups on the Customers list when that column is visible.
  • Sales tax class in the Advanced tab.
  • Default shipping and billing address badges.
  • B2B agents in the B2B Agents tab.

Supplier-Specific Fields

Supplier records can show:

  • Purchase tax class in the Advanced tab.
  • Supplier currency.
  • Minimum order value.

Search, Paging, and Sorting

The Customers and Suppliers pages load records in pages. The default page size is 50 records. Search is server-side and filters by contact name after a short delay while typing.

The list sorts by contact name. If you change table sorting, the list refreshes using the selected sort direction.

Search by the company name when checking for duplicates before creating or importing a contact. If a contact does not appear, clear search and check the correct customer or supplier list before creating a new record.

Deletion Behavior

Deleting a contact removes it from the active customer or supplier list. Deleted contacts are no longer returned by the Contacts pages. The bulk delete confirmation warns that the action cannot be reverted.

Before deleting, confirm the contact is not still needed for open sales orders, purchase orders, B2B access, reporting review, or integration reconciliation. Deleting a contact from the list is not the same as reversing historical orders or imports.

Review contacts regularly for:

  • duplicate company names
  • missing default billing or shipping addresses for customers
  • missing purchase tax class or currency for suppliers
  • outdated contact people
  • incorrect payment terms, discounts, or price lists
  • B2B groups or agents that no longer apply

Clean contact data before large imports, B2B portal rollout, accounting sync setup, or purchasing automation. Good contact setup reduces order, tax, address, and supplier errors later.

Accounting Sync

Contacts feed connected accounting integrations. When documents sync, customers and suppliers are created in the accounting system, and the link is stored on the contact so it is not duplicated:

Troubleshooting

A customer cannot be selected on a sales order
Confirm the record exists in the Customers list and has not been deleted.
A supplier cannot be selected on a purchase order
Confirm the record exists in the Suppliers list.
B2B actions are missing from the Customers page
Confirm the B2B integration is installed and the selected contacts are customers.
