The Adjustments & Stocktake list shows every stock adjustment your team has recorded, from a quick one-line correction to a full location stocktake, together with its status, type, location, reason and the quantity and value it changed. It also includes adjustments Qoblex creates and authorizes automatically as a side effect of another action, such as editing a product’s quantity directly — these show a Reason like Manual Update, which isn’t one of the filter’s built-in options.
This article covers what each column and badge on the list means, how to filter and sort it down to the adjustments you’re looking for, and how to open an existing adjustment or start a new one.
Open the list
Go to Stock Control > Adjustments in the sidebar. The page header reads Adjustments & Stocktake.
What each column shows
| Column | Shows |
|---|---|
| Number | The adjustment’s number, as a link that opens it. |
| Creation Date | The date the adjustment was created. |
| Location | The location the adjustment applies to. |
| Reason | The reason recorded for the adjustment, for example Stock Correction or Damaged Goods. |
| Status | Draft or Authorized. |
| Type | Simple or Advanced. |
| Units Changed | The total of the quantities recorded on the adjustment’s line items. For a line recorded as a counted (set) quantity — the default for new lines — this is the counted total, not the net change from what was previously in stock; batch-tracked lines are recorded as a change instead. Once an adjustment has become a multi-user count, a scanned line stays at 0 here until that line is reconciled — that’s not the same as nothing being counted. |
| Total | The adjustment’s cost variance. On an adjustment Qoblex still treats as a single-person count, it stays 0.00 until you authorize, because nothing is reconciled before then. Once it has become a multi-user count, it climbs as each line is reconciled, and is a provisional running figure until every line is reconciled and the adjustment is authorized. |
Units Changed and Total are display-only; every other column can be filtered and sorted.
Don’t read a Draft’s 0.00 Total as having no cost impact: on an adjustment Qoblex still treats as a single-person count, it simply hasn’t been calculated yet, because that only happens as part of authorizing. Once it has become a multi-user count it’s a provisional running figure that climbs as each line is reconciled and isn’t final until every line is reconciled and the adjustment is authorized. See Reconcile counted lines and Authorize an adjustment.
Status and Type badges
Status shows as a badge:
- Draft — you’re still setting the adjustment up; nothing has posted to your inventory yet.
- Authorized — the adjustment is confirmed and your inventory ledger has been updated.
Type is a badge too, but it isn’t something anyone chooses; it’s Qoblex’s record of what has happened on the adjustment so far. On an adjustment you start from New Adjustment, the badge reads Simple while only one person has counted it, and Advanced once a second person has:
- Simple — on an adjustment started from New Adjustment, every count so far came from one person, whether they typed the quantities in directly or counted alone with a scanner.
- Advanced — either a second, different person has also recorded a count on this adjustment, or the adjustment was created to hold lines split off a multi-user adjustment that still needed reconciling.
An adjustment you start from New Adjustment or Stocktake is created as a Draft and starts out as a single-person count. The one exception: when unreconciled lines are moved out of a multi-user adjustment into a new one (the escape hatch used when authorization is blocked), that new adjustment already counts as multi-user from the moment it’s created, even though nobody has counted on it yet.
An adjustment created by the Stocktake wizard is not the same as one created by New Adjustment: Qoblex keeps treating it as a single-person count, so its Type stays Simple, no matter how many different people scan against it, and it never asks you to reconcile it. The automatic switch to a multi-user count described next only happens on adjustments started from New Adjustment.
Because Type describes what already happened rather than a setting, filtering the list by Type is really asking “which of these does Qoblex still treat as a single-person count, and which have become multi-user?”
Filter and sort the list
- Click Filters to open the filter panel.
- Filter by ID, Number, Creation Date, Location, Reason, Status or Type. – Reason offers Qoblex’s eight built-in reasons: Damaged Goods, Shrinkage/Theft, Initial Stock Count, Stocktake, Stock Correction, Write-Off, Supplier Return and Promotional Use. A custom reason your company has added still shows correctly in the Reason column, but it won’t appear as an option in this filter. – Status offers Draft and Authorized. – Type offers Simple and Advanced.
- Click Apply to run the filters, or Reset to clear them all.
Click any column heading except Units Changed and Total to sort the list by it. There is no separate search box: Number and ID in the filter panel are how you look up a specific adjustment.
Open an adjustment
Click an adjustment’s Number in the list to open it.
Start a new adjustment
The list header has two buttons for starting an adjustment:
- New Adjustment — opens a blank adjustment form where you set the location and reason, then add products yourself. This is also how you set up a scanner stocktake: add the products you want counted (for example, everything under one brand), save, and hand the adjustment to whoever is scanning. See Create an adjustment and add products and Count stock with scanners.
- Stocktake — opens a separate wizard for counting a location offline in a downloaded CSV file, then uploading your counts to create a draft adjustment. See Stocktake from CSV.
