11. Reporting Troubleshooting

This article gathers the most common problems people hit in Reporting — a missing report area, a report that looks empty, an export that is blocked, a custom report that will not save, or numbers that change when you flip a setting — and explains what Qoblex is actually doing in each case so you can fix it yourself.

After reading this article you will be able to recognise each symptom, tell whether it is caused by access, filters, your plan, or a validation rule, and know the exact step that clears it.


Troubleshooting

The Reporting menu or a report area is missing

Reporting access is split into four permissions, shown in the permissions matrix as an overall Reporting permission plus Sales Reports, Purchase Reports, and Inventory Reports. In the sidebar those areas appear under the Reporting group as the entries Sales, Purchases, and Inventory, and each is shown only when the user holds the matching permission (or the parent Reporting permission, which grants all three). A user can see one area (for example Sales) without seeing the others.

If you open a reporting page you are not allowed to view — for example by following a direct link — Qoblex shows a 403 (access denied) page instead of the report. Ask an administrator to grant the matching reporting permission on your user, then reload.

A report opens empty or shows fewer rows than expected

Most “missing rows” come from the filters a report starts with, not from missing data. Several reports apply default filters when they first load:

  • The Products tab under Sales reports starts with status Open / Closed and shows bundles (it reports the parent bundle, not its components).
  • The Details tab under Sales reports, and the Products and Details tabs under Purchases reports, start with status Open / Closed.
  • Stock Movement starts with the last 30 days and active products only.
  • Stock on Hand starts with active products only.
  • Stock Allocations starts with bundles excluded.
  • Inventory Turnover starts with the last year.
  • Reorder Inventory starts with a last-30-days sales window.

Widen or clear the date range, remove status or product-state filters, and remove any grouping or sorting that is hiding rows. If you have a saved custom report open, its saved filters may be narrower than you remember — switch to the standard report tab to confirm the data is there, then adjust the custom report.

Qoblex shows an error while loading a report
If the report area shows “An error occurred while fetching the report data.”, the request to load that report failed. Try a shorter date range, remove the most recent filter or grouping you added, switch from a saved custom report back to its standard tab, then refresh the page and try again. If it keeps failing on a small, simple date range, capture the report name, tab, date range, and filters and contact support.
Inventory numbers change when I switch the bundles toggle
On inventory reports that support it, a Bundles toggle switches between Included Bundles and Excluded Bundles. This is expected: with bundles included, Qoblex reports rows on the parent bundle; with bundles excluded, it reports the bundle’s component items instead. Totals differ between the two views because they count different rows. Decide which view answers your question and keep it consistent before comparing figures.
The Export button is blocked or shows a red message

The export dialog has a date range picker for date-based reports. If you pick a window longer than one year, the export is blocked and the dialog shows “The date range must be less than one year old” in a red box. Narrow the selected range to a year or less and try again.

[!info] Some reports do not need a date range to export — Customer Aging, Supplier Aging, Stock Allocations, Stock Movement, and Stock on Hand. For those the date picker is hidden and the one-year limit does not apply.

My export never produced a file
Exports run in the background. After you confirm, the dialog tells you the report “is being exported in the background” and that Qoblex will email you a download link when it has completed. Large exports can take several minutes. Wait for that email rather than starting the same export again. If no email arrives after a reasonable wait, confirm the email address on your account and re-run the export once.
Save Report is disabled or shows an upgrade notice

Saving a custom report is only available on the Business and Scale plans. On other plans the Save Report dialog shows a yellow notice — “This feature is only available on Business & Scale plans” with an Upgrade link — and the name field and Save button stay disabled. Upgrade your plan to enable it.

[!info] If the dialog briefly shows a loading skeleton and then the warning “Failed to fetch your subscription plan.”, Qoblex could not read your plan. Close the dialog and reopen it; if it persists, contact support.

Qoblex says the report name is required
A custom report must have a name. If you leave the name blank, the Save Report form shows “This field is required” under the name field and will not submit. Type a name and save again.
A custom report fails to save, update, or delete
If saving or updating returns an error, Qoblex shows “Failed to save the custom report.”; if a delete fails it shows “Failed to delete the custom report.” Make sure you are on the correct report tab and that the report still exists for your user and section (someone else may have deleted it), then retry. If the failure repeats, capture the report name and section and contact support.
My report columns reset themselves
Which columns are shown or hidden is remembered in your browser, per report. Clearing your browser data, using a different browser, or switching to another device starts that report from its default columns again. Re-hide the columns you do not want; the choice is saved again for that browser. Active filters, sorting, and grouping are remembered only for your current session, so reloading after a long idle period or signing in fresh can also return a report to its defaults.
Reorder: creating a purchase order or transfer fails

The Reorder Inventory report can create purchase orders or stock transfers from the rows you select, so its forms validate before they submit:

  • You must select at least one row first. With none selected, Qoblex shows “Select at least one item to proceed with this action !”.
  • For a purchase order: each line needs a supplier, a location, a positive quantity (“Quantity must be positive”), and a cost of zero or more (“Cost must be equal or greater than zero”). If a product has a minimum order quantity, the quantity must meet it (“Min. Qty should be …”).
  • For a stock transfer: you must choose a source location and a destination location, and each line needs a positive quantity (“Quantity must be positive”).

[!warning] Reorder actions create real purchase orders and transfers from report data. Review the supplier, locations, and quantities on the selected rows before confirming, so a bad value does not create a bad operational record.

Inventory Aging: a bulk price or cost action fails

The Inventory Aging report’s bulk actions validate every selected row before they run:

  • Apply bulk discounts requires a positive new retail price on each selected row (“Quantity must be positive”).
  • Apply Mac Adjustment requires a positive moving average cost on each selected row (“Quantity must be positive”).

As with reorder actions, you must select at least one row first, or Qoblex shows “Select at least one item to proceed with this action !”. Remove any row that should not receive the same price or cost, then run the action again.

Two reports show different totals for the same thing
Before comparing two figures, line up the date range, filters, grouping, and the bundles toggle on both — a different default date window or a bundles-included-vs-excluded view will produce different totals from the same data.
