03. Sales Reports

Sales reports show how your sales perform across products, shipments, invoices, refunds, and unpaid customer balances. Each report is a tab on the same report grid, so you can filter, group, sort, choose columns, save, and export any of them the same way.

This article lists the Sales report tabs, explains what each one shows and its key columns, and points you to the shared controls and formula references. After reading it you will be able to open the right Sales report for a question, recognise its columns, and know where filtering, grouping, and the underlying calculations are documented.


Open Sales reports

Open Reporting > Sales from the main navigation. Sales reports open on the Products tab by default; select another tab to switch reports. The report grid controls (filters, grouping, sorting, columns, save, and export) work the same on every tab — see Use report controls.

The Reporting section and the Sales reports appear only for users whose role grants the Sales reporting permission. If you cannot see Sales reports, ask an administrator to review your role’s reporting access.


Available Sales report tabs

Sales reports include these tabs, in this order:

  • Products — sales totals by product and variant.
  • Shipments — sales activity tied to shipments and returns.
  • Details — line-level sales rows with related document numbers.
  • Invoices — invoice line rows.
  • Refunds — refund line rows.
  • Customer Aging — unpaid customer balances by aging period.

Any custom Sales reports you save appear as extra tabs after Customer Aging. See Custom reports.

Sales report figures (gross sales, net sales, tax, margin, aging buckets, and so on) are defined once in the Reporting formula reference. This article names the columns; that article explains how each amount is calculated.


Products

Open Products to review sales by product and variant. It opens filtered to Open and Closed order statuses, and shows one row per bundle parent rather than per bundle component; a control lets you switch to reporting on the component items instead (see Use report controls).

Key columns:

  • Product, Sku, Barcode — the product, variant, and identifiers.
  • Customer, Sale Agent, Sale Channel, Store, Brand, Country, Product Type — the dimensions you can group and filter by.
  • Date, Number (the linked order number), Status.
  • Sold Quantity, Cancelled Quantity, Shipped Quantity, Returned Quantity, Invoiced Quantity, Refunded Quantity.
  • Gross Sales, Canceled Gross Sales, Discounts, Refunds, Net Sales, Taxes, Total Sales.
  • COGS, Realized COGS, Margin, Margin Percentage.

When you group the report, Qoblex replaces the detail columns with the grouped dimension and an Orders count, then the amount and quantity totals for each group.

Sold units by order

When the Products report is grouped by Product or Customer, the Orders count cell becomes a link. Selecting it opens a sold units by order panel that lists the individual orders behind that group, showing Number (linked to the order), Date, Status, and Sold Quantity. This panel is a drill-down view only; it cannot be opened as its own tab.


Shipments

Open Shipments to report on sales movement recorded against shipments and returns.

Key columns:

  • Product, Order Number, Shipment Number, Return Number, Sku, Barcode.
  • Customer, Sale Agent, Location, Date.
  • Quantity, Gross Sales, Discounts, Net Sales, COGS, Margin, Margin Percentage.

Use it to compare shipped quantities and shipment cost of goods against the Details or Invoices tabs for the same period.


Details

Open Details when you need line-level sales rows instead of a per-product summary. It opens filtered to Open and Closed order statuses. Each row can carry the related return, shipment, invoice, refund, and payment document numbers, so you can follow a sale through to its later documents.

Key columns:

  • Product, Number (the linked order number), Sku, Barcode.
  • Customer, Sale Agent, Sale Channel, Store, Brand, Country, Product Type, Date, Status, Line Type.
  • Sold Quantity, Cancelled Quantity, Gross Sales, Canceled Gross Sales, Discounts, Refunds, Net Sales, Tax, Custom Items, Total Sales, Cost Of Goods, Margin, Margin Percentage.
  • Return columns: Return Number, Return Type, Returned Quantity, Return COGS.
  • Shipment columns: Shipment Number, Shipment Date, Shipped Quantity, Shipment COGS.
  • Invoice columns: Invoice Number, Invoice Date, Invoice Quantity, Invoice Amount.
  • Refund columns: Refund Number, Refund Date, Refunded Quantity, Net Refund, Tax Refund, Total Refund.
  • Payment columns: Payment Number, Payment Date, Payment Amount.

Details has many more columns than the other tabs. Hide the columns you do not need with the column control before exporting; see Use report controls.


Invoices

Open Invoices to review sales data at the invoice line level.

Key columns:

  • Product, Order Number, Invoice Number, Date (the invoice date), Order Date, Sku, Barcode, Customer, Line Type.
  • Quantity, Gross Amount, Discounts, Net Amount, Tax, Total Amount.

Use it to check invoicing by customer or date range and to reconcile invoiced amounts against the Details tab.


Refunds

Open Refunds to review refunded sales activity at the refund line level.

Key columns:

  • Product, Order Number, Refund Number, Refund Date, Order Date, Sku, Barcode, Customer, Reason, Line Type.
  • Quantity, Net Amount, Tax, Total Amount.

Group by Reason, Product, or Customer to spot repeat refund patterns.


Customer Aging

Open Customer Aging to review unpaid customer balances by how far each invoice is from, or past, its due date.

Key columns:

  • Order Number, Customer, Sale Agent, Location, Store, Sale Channel, Country.
  • Gross Sales, Discounts, Tax, Total Amount, Invoiced Amount, Refund Amount, Paid Amount, Due Amount.
  • Future-due buckets: Due in 1-30 Days, Due in 31-60 Days, Due in 61-90 Days, Due in 91+ Days.
  • Overdue buckets: Overdue 1-30 Days, Overdue 31-60 Days, Overdue 61-90 Days, Overdue 91+ Days.

Focus on the Overdue buckets to prioritise collections. The aging-bucket logic (how Due Amount is split into the future-due and overdue buckets) is defined in the Reporting formula reference.


Filter, group, save, and export

Every Sales tab uses the shared report grid, so filtering, grouping, sorting, choosing columns, saving a custom report, and exporting all behave the same way across tabs:


Troubleshooting

The Sales report opens on the wrong tab
Sales reports always open on the Products tab. Select Shipments, Details, Invoices, Refunds, or Customer Aging to switch. A saved custom report opens on its own tab after Customer Aging.
A product is missing from the Products report
The Products tab opens filtered to Open and Closed orders only, so sales on orders in other statuses are excluded until you change the status filter. It also shows bundle parents rather than their component items by default; switch to reporting on component items if you expect to see the components. See Use report controls.
Invoice or shipment numbers are blank on the Details tab
A row only shows a return, shipment, invoice, refund, or payment number once that document exists for the line. A sale that has not yet been shipped, invoiced, refunded, or paid leaves those columns blank.
The Orders count is not clickable on the Products report
The Orders count opens the sold-units-by-order panel only when the report is grouped by Product or Customer. Group by one of those dimensions, then select the count.
The totals do not match another report
Each tab counts a different event (a sale line, a shipment, an invoice, a refund, or a balance), so totals are expected to differ. Confirm both reports use the same date range and status filter, then compare. The figure definitions are in the Reporting formula reference.
Sales reports are not in the menu
The Reporting > Sales entry is shown only to roles with the Sales reporting permission. Ask an administrator to review your role’s reporting access.
