Every report in the Sales, Purchases, and Inventory sections is driven by the same set of controls. Once you know how to filter, group, sort, page through, and choose the columns of one report, you can drive any of them the same way.
This article explains each control along the top of a report and what it changes. After reading it you will be able to narrow a report with filters, group rows by a dimension, sort and page through the results, show or hide columns, reset back to the report’s starting view, and understand what Qoblex remembers between visits.
Open a report
- Go to Reporting in the sidebar.
- Choose Sales, Purchases, or Inventory.
- Select a report tab.
Each report opens with the starting filters defined for that report. Several reports begin with a date range or a status filter already applied so the first view stays focused — for example, the Stock Movement report opens to the last 30 days, and several sales and purchase reports open showing only Open and Closed orders. The report you have open is reflected in the page address, so a report tab can be bookmarked, but the filters, sorting, and grouping you apply are not part of that address (see What Qoblex remembers).
Filter a report
The Filters button opens a panel where you build one or more conditions that the report data must match.
- Click Filters.
- Click Add Filter.
- Choose the field to filter on. The available fields depend on the report.
- Choose how to match it and enter or select the value (see the field types below).
- Click Apply.
When filters are active, Qoblex shows each one as a chip above the grid. Click a chip to reopen the filter panel, or click the small cross on a chip to remove that one filter. Inside the panel, Reset clears all the filters you have added.
The fields a report offers fall into a few types, each with its own way of matching:
- Date range — pick a start and end date. Reports that are driven by a date (such as Stock Movement, Inventory Turnover, and Reorder Inventory) use this to bound the period.
- Multi-select — choose one or more values from a list. Used for dimension fields such as customer, supplier, location, brand, product type, sale channel, sale agent, country, online store, variant, and status.
- Text — match a word with Contains, Does not Contains, Start with, Does not Starts with, End with, Does not Ends with, Equal, or Not Equal.
- Number — compare an amount or quantity with Equal, Not Equal, Greater Than, Less Than, Greater Than or Equal, or Less Than or Equal.
- Yes/No — a single on/off condition for fields that are either true or false.
Group a report
Use Group by to roll the rows up into totals by a single dimension.
- Click Group by.
- Choose a grouping column from the list. Only columns that the report allows grouping on are listed.
- To stop grouping, click Cancel Grouping (the cross next to the Group by label).
You can group by one column at a time; choosing a new grouping column replaces the previous one. When grouping is on, the grid shows one summarised row per group, and the available columns can change because Qoblex now shows group summaries rather than individual detail rows.
Sort a report
Sort by a column from its header menu:
- Open the menu on a sortable column header.
- Choose Sort Ascending (A – Z, or 0 – 9 for numbers) or Sort Descending (Z – A, or 9 – 0).
When a sort is active, a Sorting badge appears in the controls showing how many columns are sorted. Open that badge to change a column’s direction or remove it; the cross on the badge clears all sorting at once. Like filtering, sorting is applied on the server and returns the report to the first page.
Show, hide, and reorder columns
Use the columns button in the report toolbar to tailor which columns appear:
- Show or hide columns — toggle individual columns on or off. Hidden columns are also left out when you export the report, so the exported file follows the columns you have on screen.
- Reorder columns — open the columns panel and drag a column by its handle to a new position in the list.
Move through pages
Reports load 50 rows per page. Use the page controls at the bottom of the grid to move between pages; the footer shows which rows you are viewing (for example, Showing 1 to 50 of 320 entries).
Paging is handled on the server, so each page is fetched as you navigate. Changing a filter, the grouping, the sort, or switching reports always returns you to the first page so the new view starts from the top.
Reset the report
Open the Filters panel and click Reset to return the report to its starting state. Resetting restores the report’s default filters and clears any sorting and grouping you added for that report.
Save your view as a custom report
When you have filters, grouping, or sorting active, a Save Report button appears next to the controls. Saving keeps the current filters, the grouping column, the sort, and the visible columns so you can reopen the same view later as a custom report. See Working with custom reports for the full workflow.
What Qoblex remembers
Qoblex keeps your working view so a report opens the way you left it:
- Filters, sorting, and grouping are remembered per report and restored the next time you open it on the same device. Switching to a different report loads that report’s own remembered view, or its starting filters if you have not changed it yet.
- Visible columns (show/hide) are remembered per report on the same device.
- Column order and the page you were on are not remembered — order returns to standard and the report opens on the first page.
These preferences are stored in your browser, not in your account, so they do not follow you to another device or browser. To keep a view permanently or share its definition, save it as a custom report instead.
Who can see reports
The Reporting section and each area within it are controlled by permissions. A user needs the matching permission to open a report:
- Sales Reports for the Sales reports.
- Purchase Reports for the Purchases reports.
- Inventory Reports for the Inventory reports.
- The parent Reporting permission grants access across the whole Reporting section.
If a user has none of these, the Reporting item is hidden from their sidebar and the pages cannot be opened. An administrator can grant the right permission from Users & Permissions.
