Adjustments & Stocktake

Update min and max inventory in bulk

Every product variant has a Min inventory and a Max inventory level at each location. You can edit them one variant at a time on the variant’s Inventory tab, but to change many at once you use the Stocktake from CSV file instead: download it, edit two columns, and upload it again.

This article shows how to prepare that file so it changes only your min and max levels, and leaves your stock quantities alone.

Before you start

The file covers one location at a time, so plan one download and upload per location you want to update.

  • Only warehouse locations can be chosen.
  • You need the Authorize Adjustments permission to upload the file. Without it, the upload fails with “Something went wrong while uploading your file. Please try again.”
  • In the file, Min inventory is the MinInventory column and Max inventory is the MaxInventory column.
  • The new levels are saved as soon as your file is uploaded. There is no draft or approval step for them.

Step 1: Download the file for a location

  1. Select Adjustments, then Stocktake.
  2. Choose the Location whose levels you want to change.
  3. To include only some products, narrow the file down by Supplier, Product Type, Brand, or Tags.
  4. Select Prepare Stock CSV, then Download Stock CSV.

Step 2: Remove the Quantity and BufferQuantity columns

The downloaded file is a stocktake, so it comes with every variant’s current Quantity and BufferQuantity already filled in. Those are the figures at the moment you downloaded the file, not when you upload it.

With both columns gone, your stock quantities and buffer quantities are left exactly as they are.

Step 3: Edit the min and max levels

Change the values in MinInventory and MaxInventory for the products you want to update.

Column What to enter
MinInventory The level at or below which the reorder report flags the variant as low stock. Whole numbers only: a value such as 5.5 stops the upload.
MaxInventory The upper level you want to keep at this location. Decimals are accepted.

Keep the Id column exactly as downloaded. It is the only column Qoblex needs, and it matches each row to a variant.

A blank cell clears the level

These two columns work differently from the rest of the file. When the column is present, every row’s level is set from its cell, so an empty cell removes that variant’s level at this location.

  • To change only min levels, delete the MaxInventory column. Max levels are then left untouched.
  • To change only max levels, delete the MinInventory column.
  • To leave a variant untouched, delete its row. Variants not in the file are not changed.

The other columns in the file (ProductName, SKU, IsBundle, and unchanged Barcode and BinNumber values) can stay. You can also delete them.

Step 4: Upload the file

The file has no location column. Qoblex applies every level in it to the location selected in the wizard when you upload.

  1. If the wizard is still open, select Next. If you closed it, select Stocktake again, choose the same Location you downloaded the file for, then select Already have your filled-in file? Skip to upload.
  2. Drop your file on the upload step, or select Browse File.
  3. Wait while Qoblex checks the file and applies your changes.

Because the file has no quantities, the wizard ends with “Every counted quantity already matches your catalog, so there is nothing to apply.” That is the expected result: no adjustment is created, and your new min and max levels are already saved.

Repeat from Step 1 for each other location.

The upload says it found problems in my file
Nothing has been changed. A row whose Id was edited or removed, or a MinInventory value that is not a whole number, is listed with how to fix it. Correct the file and select Upload corrected file.
The wizard created a draft adjustment
Your file still had a Quantity column. Nothing has moved in stock until that adjustment is authorized. Select View draft adjustment, not Authorize now, and delete the adjustment from there. Your min and max levels were saved either way. Check your buffer quantities too, if the file also had a BufferQuantity column.
Some variants lost their min or max level
Their cells were empty while the column was in the file. Enter the levels again, either in a new file or on the variant’s Inventory tab.
A variant’s level did not change
The variant is not yet set up at that location, so Qoblex skips its row. Its MinInventory and MaxInventory cells are also blank in the download for the same reason.
The levels landed on the wrong location

The wizard had a different Location selected when you uploaded. Upload the same file again with the right Location selected.

Then repair the location you uploaded to by mistake. A fresh download for it shows the levels your file just wrote there, not the ones it had before, so enter that location’s correct min and max values in the new file yourself, then upload it.
