The Batches list is the single place where you can see every batch and serial number your business is currently holding, across all your locations. Because a serial number is simply a batch with a quantity of one, both appear here in the same table: batch-tracked variants show one row per lot, and serial-tracked variants show one row per unit.

This article explains how to open the list, what each column means, how to narrow it down with filters, how to read the expiry warning icons, and how to trace a single batch or serial back through its history. After reading it you will be able to find any batch or serial you are looking for and understand why one might not appear.

Open the Batches list

In the left sidebar, open Batches.
The page opens at the address /batches, titled Batches & Serial Tracking.

The list loads every batch and serial your company currently holds. Each row is one batch (or one serial-tracked unit) at one location.

What the columns mean

Column	What it shows
Product Variant	The product and variant the batch belongs to, with its image.
Sku	The variant’s SKU.
Batch N°	The batch or serial number. An expiry warning icon may appear next to it (see below).
Location	The warehouse or location where this batch is held.
Created At	When the batch record was first created in Qoblex.
Expire at	The expiry date recorded for the batch, if one was entered. Blank if the batch has no expiry date.
Available Quantity	The on-hand quantity of this batch. This is the total number of units physically held, and it still includes any units counted in Reserved Quantity, so it is not net of reservations.
Reserved Quantity	The quantity of this batch committed to picked sales orders and started production (assembly) orders, and so not free to be picked for anything else.
Cost	The recorded unit cost of the batch.

The final column holds a Trace action button on each row. See “Trace a single batch or serial” below.

For a serial-tracked variant, each serial number is its own row with an Available Quantity of 1, so the list doubles as your serial-number register.

Sort and filter the list

You can sort by any column by clicking its header. To narrow the list, open the filters panel from the toolbar above the table. The following filters are available:

Created At — a date range for when batches were created.
Expire at — a date range for expiry dates. Use this to find everything expiring within a window.
Batch N° — search by batch or serial number text.
Sku — search by SKU text.
Location — pick one or more locations.
Product Variant — pick one or more product variants.

When any filter or sort is active, Qoblex shows the applied filters and sort above the table so you can see and clear them at a glance.

If the list fails to load, Qoblex shows: “Something went wrong while fetching list of batches. Try to clear your filters if any.” Clearing your filters is the first thing to try.

Read the expiry warning icons

Qoblex flags batches that are close to expiry or already expired directly on the Batch N° column, using a warning triangle:

A triangle appears when the batch expires within 10 days or has already expired.
The icon is orange for a batch that is expiring soon, with the tooltip “This batch is expiring soon !”
The icon is red for a batch whose expiry date has already passed, with the tooltip “This batch has expired.”

Batches with no expiry date, or with an expiry date more than 10 days away, show no icon.

Sort or filter by Expire at to bring your soonest-to-expire batches to the top. For a fuller view of expiring stock, see the Expiry dates and expiring stock article.

Trace a single batch or serial

Each row has a Trace action. Selecting it opens the trace panel for that batch or serial, showing where it came from and everything that has happened to it since (goods received, sales, transfers, adjustments, manufacturing, and returns). This is how you answer “which orders did this lot go out on?” or “where did this serial number come from?”.

When a batch or serial is missing

If you cannot find a batch or serial you expected to see, work through these checks.

The variant is not batch or serial tracked

Only variants set to batch or serial tracking produce rows here. If the variant was never set to a tracking mode, or was received before tracking was turned on, it will not appear. See Set a variant to batch or serial tracked.

A filter is hiding it

A Location, Product Variant, Sku, Batch N°, or date-range filter may be excluding the row. Clear all filters and search again.

You are searching the wrong number

Batch and serial searches match the text as stored. Check for leading or trailing spaces, prefixes or suffixes, or a different case, and search on the Batch N° filter with just part of the number.

It has been fully shipped or consumed, so it reads as zero

A batch does not drop off the list when it runs down to zero. Once every unit has been shipped, consumed in manufacturing, transferred out, or adjusted away, the row stays visible with an Available Quantity and Reserved Quantity of zero. If you were scanning for stock on hand, a batch you expected may simply be sitting at zero rather than gone. Use its Trace action to confirm where the quantity went.

Some of its stock is reserved

If the batch has fewer units genuinely free to pick than you expected, check the Reserved Quantity column. Available Quantity shows the full on-hand quantity and still includes any reserved units, so the number actually free to use is Available Quantity minus Reserved Quantity. Stock committed to picked sales orders and started production (assembly) orders shows in Reserved Quantity.

What Qoblex does automatically

Creates and updates batch and serial rows as you receive goods, allocate stock during adjustments, or import a batch stocktake. You do not add rows on this screen directly.
Recalculates Available Quantity and Reserved Quantity as batches are received, reserved, shipped, transferred, adjusted, consumed, or returned.
Shows the orange or red expiry warning icon automatically based on each batch’s Expire at date.

A batch is never removed from the list automatically. Even after it reaches zero quantity, its row stays so you keep its history; a batch is only removed when it is explicitly deleted (and only once its quantity is zero).

Batch, serial, and expiry information is internal to Qoblex. It is not sent to or received from external integrations such as Shopify, Xero, QuickBooks, or Amazon.
