How syncing orders from Qoblex to WooCommerce works

Most WooCommerce orders flow into Qoblex on their own, from your store to Qoblex. Sometimes you need to send data the other way: to let WooCommerce know that an order has been shipped. Qoblex handles this automatically when you dispatch a shipment. This article explains how order data moves from Qoblex back to WooCommerce. It covers the automatic update Qoblex sends to WooCommerce when you ship an order, what that update changes in your store, and the one condition that must be met before it happens. It also explains what the manual Sync to store action does and does not do for a WooCommerce store, so you know what to expect if you try it.

Which way order data flows

For WooCommerce, order creation runs one way, from your store into Qoblex. The only automatic push back to WooCommerce is a status update when you ship: – Order completion on shipping (automatic). When you dispatch a shipment in Qoblex for a fully paid order that is linked to WooCommerce, Qoblex marks that order as completed in your store. You do not start this yourself.

Editing an order in Qoblex does not push the change back to WooCommerce. Only the shipping update described here travels from Qoblex to your WooCommerce store.

Before you start

For the shipping update to reach WooCommerce, make sure: – The store is connected. The order must be linked to a connected WooCommerce store. See Connect WooCommerce and choose your sync settings. – The order is fully paid. Qoblex only completes an order in WooCommerce once the order is paid in full. If it is unpaid or only partly paid, the shipment is recorded in Qoblex but the WooCommerce order is left as it is. – The shipment is completed. Only completed shipments trigger the update; a draft or partial-status shipment does not.

Marking an order completed when you ship

Once an order is linked to a WooCommerce store, shipping it in Qoblex updates the store automatically. When you dispatch a completed shipment in Qoblex, Qoblex checks whether the whole order is fully paid. If it is, Qoblex sets the matching WooCommerce order’s status to completed. WooCommerce then handles that status as it normally would, including any customer email your store sends when an order is completed. Qoblex records the result on your notifications and Activity feed: a confirmation that the order was fulfilled when the update succeeds, or an error with the reason when it does not. Shipping a fully paid order sets the WooCommerce order to completed; if you dispatch another shipment on the same order later, Qoblex may send the completed status again. This is harmless, because the WooCommerce order simply stays completed.

Qoblex only marks a WooCommerce order as completed once the order is fully paid. If the order is unpaid or partly paid when you ship it, Qoblex records the shipment in Qoblex but does not change the order in WooCommerce. Take payment in full, then the next shipment you dispatch will complete the order in your store.

The completion update sets the WooCommerce order status to completed. It does not send a tracking number or carrier to WooCommerce, and it does not fulfil individual line items one at a time. If you record tracking details in Qoblex, add them in WooCommerce separately if you need them there.

About the “Sync to store” action

Qoblex has a manual Sync to store bulk action on the Sales list that pushes selected orders up to a connected store. The store picker lists every connected store, so a connected WooCommerce store appears there alongside any other channels. Pushing a Qoblex order into WooCommerce as a new or updated order is not supported today. If you choose a WooCommerce store in the picker, Qoblex cannot create or update the order in WooCommerce, and the order is not sent. Use Sync to store for the channels that support it, and rely on the automatic completion update above to keep WooCommerce orders in step with Qoblex when you ship.

Do not use Sync to store to create orders in WooCommerce. Sending a Qoblex order into a WooCommerce store as a new order is not available. WooCommerce order records are created in WooCommerce (from your storefront or the WooCommerce admin) and flow into Qoblex, not the other way around.

Where to find Sync to store

  1. Go to Sales > Orders.
  2. Select one or more orders using the checkboxes in the list.
  3. Open the bulk actions menu and choose Sync to store.
  4. In the Sync to store window, open Select a sale channel to see your connected stores. If you have none connected, the list shows No connected stores. The Sync to store action only appears for users who can edit orders. If you do not see it, ask your administrator to grant you edit permission for orders.

The table below shows exactly what Qoblex sends to WooCommerce when you ship a completed shipment on a fully paid order. Troubleshooting

I shipped the order in Qoblex but WooCommerce still shows it as processing
Qoblex only completes a WooCommerce order once the order is fully paid. If the order is unpaid or partly paid, the shipment is recorded in Qoblex but the WooCommerce order is left unchanged. Take payment in full in Qoblex, then dispatch the next shipment, and Qoblex will set the WooCommerce order to completed. Check your Activity feed for the exact message on each attempt.
The WooCommerce order is completed but has no tracking number
The completion update only sets the WooCommerce order status to completed. It does not send a tracking number or carrier. If you need tracking details in WooCommerce, add them to the order in your WooCommerce admin.
I chose my WooCommerce store in Sync to store but nothing happened
Pushing a Qoblex order into WooCommerce as a new or updated order is not supported. The store appears in the picker because it is connected, but Qoblex cannot create or update the order in WooCommerce. WooCommerce orders are created in WooCommerce and flow into Qoblex; the only automatic update in the other direction is the completion status when you ship a fully paid order.
Sync to store is not in the bulk actions menu
The action only appears for users who can edit orders. Ask your administrator to grant you edit permission for orders, then reopen the Sales list.
The store I want is not in the picker, or it says No connected stores
Only connected stores appear in Select a sale channel. Connect the store first (see Connect WooCommerce and choose your sync settings); once it is connected it will appear in the list.
