Stocktake Software
A stocktake is rarely the hard part. The hard part is the week after, when someone asks why the figure changed and the only record is a tally sheet in a drawer and a number that was typed over. Qoblex counts stock where the stock is, on a phone or from a spreadsheet, and writes every correction as a document with a reason, a date and a name on it. The count finishes, and the question of what it did to your numbers is already answered.
Count the shelf, not the spreadsheet
A stock take fails in the gap between counting and recording. These are the parts of the job Qoblex does for you so that gap closes.
Count by barcode, standing at the racking
Scan your way along the shelf with the phone camera. Each scan finds the product and records the count where you are standing, so nobody walks a tally sheet back to a desk and retypes it an hour later.
Two counters, counted blind
Put a second person on a count and Qoblex stops showing either of them the other’s number. You do not pick a mode or turn anything on. It happens because a second counter joined, which is the only moment it matters.
Bring a count in from a spreadsheet
If the counting already happened on paper or in Excel, import the counted quantities as a CSV and let Qoblex work out the difference. You get the same document and the same audit trail as a count made in the app.
Every correction is a document
A stocktake and an adjustment are records, not overwritten cells. Each one carries a reason, a date and the person who made it. When a figure looks wrong a month later, the question is which document moved it, not who had the file open last.
Know what was promised before you adjust it
Qoblex keeps total, allocated and available apart. Stock already promised to an open order is visible as promised, so a count does not quietly free up units that a customer is waiting on.
Rebuild what you held on any date
Historic Inventory reconstructs your stock position at a past date from the movements behind it. It is the report your accountant asks for at year end, and the one that makes a stocktake defensible rather than merely done.
What a count does to your accounts
A stocktake changes the value of what you hold, which makes it an accounting event as much as a warehouse one. In Qoblex the adjustment carries its own value, worked out from your costing method, and the journal for it posts to the accounts you chose when you connected Xero or QuickBooks Online.
That matters most at year end. The stock figure on your balance sheet and the stock figure in your operations come from the same document, so there is one number to explain rather than two to reconcile.
Common questions
Stock takes, counting on the floor, and what happens afterwards.
What is stocktake software?
Stocktake software records what you physically counted, compares it with what the system expected, and writes the difference as a correction you can look up later. The point is not the counting itself, which people do perfectly well with their eyes. The point is that the correction survives as a record with a reason attached, so the figure can be explained months later.
Do I need a barcode scanner to run a stock take?
No. The Qoblex mobile app uses the phone camera to read barcodes for counting. If you already own handheld scanners they work with the web app on a desktop. And if you would rather count on paper, you can import the counted quantities from a CSV afterwards.
Can two people count the same stock?
Yes, and that is when Qoblex starts counting blind. As soon as a second counter joins a stocktake, neither of them can see the other’s figure. There is no setting to find and nothing to remember to switch on, because the one moment a double count is worth having is the moment a second person starts counting.
What happens to my accounts when I post a stocktake?
The adjustment is valued using your costing method and posts a journal to the accounts you mapped when you connected Xero or QuickBooks Online. Your stock value and your balance sheet move together rather than drifting apart until someone reconciles them by hand.
Can I count one location without counting everything?
A stocktake is created against a location, so counting one warehouse does not require you to stop and count the others. Stock held at another site keeps its own figure. You can also go narrower than a whole location. A new adjustment lets you add only the products you want counted, a single brand for example, and hand that to whoever is scanning. One caveat before you rely on it: the scanner does not enforce that list, so anything a counter scans is added to the count whether it was on the list or not.
Is the mobile app included?
The mobile app is a paid add-on rather than part of the base plan, and it is priced per account rather than per person, so once it is on, everyone who counts can use it. See pricing for current terms.
How do I get my opening stock in?
As a stocktake. Import your counted quantities and Qoblex sets the position from them, with a document behind it, which means day one of your Qoblex history looks the same as every day after it.
When Unleashed is the better choice
Unleashed runs a dedicated stocktaking product and has done for years, and it is the established name for this in Australia and New Zealand. There are situations where it is the right answer and Qoblex is not.
If you need to slice a count narrowly, Unleashed states that it lets you "perform smart partial counting by warehouse, location, supplier or product" (unleashedsoftware.com/stock-take-software/, checked 12 October 2026). Qoblex counts by location. If your counting routine depends on rolling through a supplier’s range or one product category at a time, that is a real difference and it is theirs.
If you are already running Unleashed and your counts are working, the honest answer is to leave them alone. Switching inventory systems to improve a stocktake is a large cost for a small gain, and nobody should do it on the strength of a web page.
Where Qoblex is worth a look is the other half of the job. If what goes wrong for you is not the counting but the explaining, if counts are done on paper and typed in later, if two people counting the same rack still produces one number nobody trusts, or if the adjustment never quite lines up with what the accountant sees, that is the gap this is built for.
