Adjustments and stocktake overview

A stock adjustment corrects your on-hand inventory when it doesn’t match what’s actually on the shelf: a miscount, damage, theft, a write-off, or bringing a brand-new location’s stock onto the books for the first time. It’s not the tool for stock that changed for a reason Qoblex already tracks elsewhere. If the change came from a sale, a purchase, a transfer between locations, or a manufacturing order, record it there instead and let that workflow update stock for you.

This article covers what an adjustment is, the two ways to start one, the reasons you can attach to it, and how Qoblex decides whether a count needs reconciling before it can be posted. Each of those topics has its own article later in this section, linked at the end.


Draft, then Authorized

Every adjustment starts as a Draft. While it’s a draft, you can keep changing its reason, location, note, and line items, and none of that has touched your stock levels yet.

Authorize is the step that does: it applies the counted quantities to inventory, and the adjustment’s status becomes Authorized.

Starting an adjustment

From the Adjustments & Stocktake list, there are two ways to start:

  1. New Adjustment opens a blank draft: pick a reason and a location, then add products yourself via the Add Products dialog or scan them in. Both ways of adding products are covered in this section’s own articles.
  2. Stocktake opens the Stocktake from CSV wizard: it exports a spreadsheet of a location’s current stock, and once you upload your filled-in counts it creates one Draft adjustment for you to review.

An adjustment created from a CSV upload is created as the straightforward kind described below under “One counter or several”: the counting was done in the spreadsheet, so there is nothing to reconcile before you authorize it.

The adjustment reasons

Every adjustment records why the correction is being made. Qoblex ships eight built-in reasons:

  • Damaged Goods
  • Shrinkage/Theft
  • Initial Stock Count
  • Stocktake
  • Stock Correction
  • Write-Off
  • Supplier Return
  • Promotional Use

These are defaults, not a closed list: a business’s own custom reasons appear alongside the built-in eight when choosing a reason for an adjustment.

One counter or several: Qoblex works this out for you

There’s no setting to choose between a simple correction and a full stocktake when you create an adjustment. Qoblex decides which kind it is by watching who actually counts:

  • If one person does all the counting, whether by typing quantities in directly or by scanning alone, the adjustment stays straightforward. There’s nothing to reconcile; you just review it and authorize.
  • As soon as a second person scans a count into the same adjustment, it’s automatically promoted to a fully reconciled stocktake, and it stays that way from then on. It never switches back, even if only one person keeps counting after that. Every line then has to be reconciled before the adjustment can be authorized. Add every product you intend to count before a second person starts scanning — see Create an adjustment and add products for what happens to the Add Products dialog once counting starts.

This distinction still shows up to you as a Type column on the adjustments list, showing whether one person counted or more than one did, and you can filter the list by it too. Treat it as a label describing what happened during counting, not a choice you make up front.
