01. Reporting Overview

Reporting is where you review your operational data across three areas — Sales, Purchases, and Inventory. Each area groups several related reports as tabs, and they all share the same controls for filtering, grouping, sorting, choosing columns, saving custom views, and exporting.

This article orients you to the three reporting areas, what each one is for, how access to them is controlled, and where to go for the detailed report and calculation articles. After reading it you will know which area holds the report you need, why an area might be hidden or blocked for a user, and which article to open next.


The three reporting areas

Open Reporting in the left sidebar to reach the three areas. Each area is its own page with its own tabs:

  • Sales (/reporting/sales) — how your products are selling and what customers owe. Tabs: Products, Shipments, Details, Invoices, Refunds, and Customer Aging.
  • Purchases (/reporting/purchases) — what you are buying, receiving, and owe suppliers. Tabs: Products, Received goods, Bills, Supplier aging, and Details.
  • Inventory (/reporting/inventory) — stock levels, movement, and value. Tabs: Stock Movement, Stock on Hand, Stock Allocations, Reorder Inventory, Inventory Turnover, and Inventory Aging.

Opening an area lands you on its first tab — Sales opens on Products, Purchases on Products, and Inventory on Stock Movement.

Most reports are for review and reconciliation only. Two inventory reports also let you act on the rows you select: Reorder Inventory can raise purchase orders or stock transfers, and Inventory Aging can apply bulk price or cost adjustments. Shared report controls

Every report in all three areas uses the same toolbar, so once you learn it in one report it works the same everywhere. From the toolbar you can filter the rows, group results, sort by a column, show or hide and reorder columns, save the current setup as a custom report, and export. Reports page through results 50 rows at a time.

Custom reports

When you save the current filter, grouping, sorting, and column setup as a custom report, it appears as an extra tab in the same area you saved it from — a saved Sales report stays under Sales, a saved Purchases report stays under Purchases, and a saved Inventory report stays under Inventory. A name is required to save a custom report. The full workflow is covered in Using report controls.


Exporting

Export runs in the background. Qoblex sends an email with a download link when the export is ready, so you do not have to wait on the page. Large exports can take several minutes depending on how much data is included.

Because the export is emailed rather than downloaded immediately, check your email before starting the same export again. The export workflow is documented in Using report controls.


Data synchronization window

Each report shows an information icon in its header. Opening it explains that reporting data is synchronized from a fixed start date onwards. For most reports that date is January 2025; for Stock Movement and Inventory Turnover it is July 2025. To request access to historical data from before that period, contact support at [email protected].

If a report looks like it is missing older rows, this synchronization window — not a broken filter — may be the reason. Check the date the information icon shows before assuming data is lost.


Who can see Reporting

Reporting is permission-controlled at two levels, so what a user sees depends on their assigned permissions:

  • The Reporting menu item appears only if the user can view at least one reporting area. Each area’s sidebar entry (Sales, Purchases, Inventory) is shown only when the user has that area’s permission.
  • Opening an area’s page is independently guarded: a user who reaches a Sales, Purchases, or Inventory report page without the matching permission sees a “403” access-denied page instead of the report.

In the permissions matrix these appear under the Reporting group as Sales Reports, Purchase Reports, and Inventory Reports, one per area. Granting the parent Reporting permission gives access to all three at once.

A user who reports a missing Reporting menu item or an access-denied page is almost always missing the reporting permission for that area. Review their Reporting permissions before investigating the report data itself.

When a customer challenges a number, capture the report area, the tab, the active filters, the grouping, the visible columns, and the date range, then open the matching detailed article and walk through it with the same setup. A report can be correct yet show a different total from a list page simply because the two screens are using different filters or grouping.


Troubleshooting

The Reporting menu item is missing for a user
The Reporting menu appears only when the user can view at least one reporting area. Confirm the user has at least one of the Sales Reports, Purchase Reports, or Inventory Reports permissions, or the parent Reporting permission (which grants all three).
A user can see Reporting but one area is hidden
Each area’s sidebar entry is shown only when the user has that area’s permission. If Sales shows but Purchases does not, grant the Purchase Reports permission (or the parent Reporting to grant all three).
Opening a report shows an access-denied page
The page is guarded independently of the menu. A “403” page means the user reached the area without the matching Reporting permission for that area. Review and grant the area’s permission.
A report looks like it is missing older rows
Reporting data is synchronized from a fixed start date — January 2025 for most reports, July 2025 for Stock Movement and Inventory Turnover. Open the information icon in the report header to see the date, and contact [email protected] to request access to data from before that period. Also confirm the report’s own date filter is not excluding the rows.
A report total does not match another Qoblex screen
A report can be correct and still differ from a list page because the two use different filters or grouping. Match the date range, document or product status, location, customer or supplier, and grouping on both screens before assuming the figure is wrong, then compare against the area’s detailed report article.
