02. Connect Shopify and choose your sync settings

After you install the Shopify app, Qoblex opens a settings page where you decide how the two systems keep each other up to date: which direction inventory, product, price, and cost information flows, how Qoblex recognises the same product in both places, and which product details are shared. These settings are the spine of the whole integration, so it is worth setting them deliberately before you import anything.

This article walks through that settings page section by section, explains in plain terms what each sync direction does, and points out the defaults Qoblex applies. Once you understand these controls you will be able to configure the connection to match how your business actually works, save it, and (for a brand new store) move on to importing your products.

Where these settings live

The settings page is organised into four numbered sections:

  1. Inventory levels Synchronization
  2. Location Mapping
  3. Product Synchronization
  4. Pricing Synchronization

This article covers sections 1, 3, and 4. Section 2, Location Mapping, has its own set of rules (matching Shopify locations to Qoblex warehouses, per-location inventory, the default web-channel location, currency, and price-list validation). Those are covered in Shopify locations, currency, and price lists.

Understanding sync direction

Most settings on this page are a choice of direction. A direction simply answers “who is in charge of this information, and where does a change flow to?” Qoblex offers up to four choices depending on the setting:

  • Do not sync: Qoblex and Shopify are kept independent for this piece of information. A change on one side is never pushed to the other.
  • Sync from Qoblex to Shopify: Qoblex is the source of truth. You make changes in Qoblex, and Qoblex writes them to Shopify. A manual change made directly in Shopify can be overwritten by Qoblex.
  • Sync from Shopify to Qoblex: Shopify is the source of truth. Changes made in Shopify flow into Qoblex, and a change made in Qoblex can be overwritten by Shopify.
  • Sync both ways: changes flow in both directions.

Not every section offers all four choices. Inventory and cost offer a shorter list, product information offers all four, and price offers three. Each section below states exactly what it shows.

Section 1: Inventory levels Synchronization

This section answers: “How would you like us to sync your inventory levels (quantity adjustments, stock transfers, purchases…)?”

The dropdown offers two choices:

  • Do not sync: stock-level changes made in Qoblex will not sync to Shopify, and stock-level changes made in Shopify will not sync to Qoblex.
  • Sync from Qoblex to Shopify: this is the default. Manual stock-level changes made directly in Shopify will be overwritten by Qoblex, and inventory-changing activities such as stock adjustments, stock transfers, and purchases must be performed within Qoblex.

When inventory syncs from Qoblex to Shopify, the Location Mapping section (section 2) gains a per-location “Sync Inventory?” switch so you can choose which mapped locations push their stock to the store. See Shopify locations, currency, and price lists.

Section 3: Product Synchronization

This section controls how products are matched between the two systems, which direction product information flows, and which individual product fields are shared.

How Qoblex matches products

The first control answers: “How would you like Qoblex to identify and match similar products across different stores?” Choose the attribute Qoblex uses to recognise that a Shopify product and a Qoblex product are the same item:

  • Match products by name: this is the default.
  • Match products by SKU
  • Match products by barcode

Pick the attribute that is most reliably filled in and unique across both systems. If your products always carry a SKU or barcode, matching on that is usually safer than matching on the name, because names are more likely to differ slightly between the two stores.

Product information sync direction

The next control answers: “How would you like us to sync your products information?” This dropdown offers all four directions:

  • Do not sync
  • Sync from Qoblex to Shopify
  • Sync from Shopify to Qoblex
  • Sync both ways: this is the default.

If you set this to Do not sync, the rest of section 3 (the field checkboxes and the two toggles below) is hidden, because there is nothing to sync.

Automatically sync and publish new products

When Qoblex is a source of product information (that is, when product sync is set to Sync from Qoblex to Shopify or Sync both ways), two extra switches appear:

  • Would you like to automatically sync new products created in Qoblex to Shopify? When on, a product you create in Qoblex is pushed to the store automatically. On by default.
  • Would you like to automatically publish newly created products to your web channel? When on, a newly created product is also published to your online store (made visible), not just created. On by default.

If you turn these off, new Qoblex products are not pushed or published automatically and you would add them to Shopify yourself.

Which product properties to sync

Below the direction, Qoblex asks: “Which product properties and attributes would you like to sync?” Each attribute is an independent checkbox. All of them are on by default. Turn off any attribute you would rather manage separately in each system.

CheckboxWhat it controls
Name / TitleThe product name or title.
DescriptionThe product description.
BrandThe product brand.
Options and their values (ex. color, size…)The product’s options and their values, such as colour or size.
Product TypeThe product type.
Product TagsThe product tags.
Product Handle (url)The product handle, which forms part of its store URL.
ImagesThe product images.
Sync BarcodeThe product barcode.
Inventory Tracking PolicyWhether an item is tracked or not.
Continue selling when sold outWhether an item can be oversold.

Section 4: Pricing Synchronization

This section controls whether prices flow between the systems, which Qoblex price lists supply the store’s price and Compare At price, and whether cost data is shared.

Price sync direction

The control answers: “How would you like us to sync your product prices?” It offers three directions:

  • Do not sync
  • Sync from Qoblex to Shopify
  • Sync from Shopify to Qoblex: this is the default.

Price list and Compare At price list

Two dropdowns decide which Qoblex price lists feed the store:

  • “Which price list would you like to assign to your product prices on your store?” This is the price list Qoblex uses for the store’s selling price.
  • “Which price list would you like to assign to your product Compare At prices on your store?” This is the price list Qoblex uses for the Compare At price (the “was” price shown struck through on the storefront).

Each list is shown with its currency in parentheses. These two lists have validation rules (they must be different, must share a currency, and must match your store currency): those rules and the currency setup are covered in Shopify locations, currency, and price lists.

Cost sync direction

The last control answers: “How would you like to sync your product cost data?” Like inventory, it offers two choices:

  • Do not sync: this is the default.
  • Sync from Qoblex to Shopify

Saving your settings

The buttons at the bottom of the page depend on whether this is a brand new (temporary) store or one you have already finished setting up.

For a new store that you are configuring for the first time:

  • Finish Setting Up Your store: validates and saves your settings, then opens the Import products dialog so you can bring your Shopify catalogue into Qoblex. Choosing this is how you complete setup.
  • Save: validates and saves your settings without opening the import dialog.

For a store you have already set up:

  • Save & Close: validates and saves your changes.
  • Cancel: discards your unsaved changes and leaves the page. If you try to navigate away with unsaved changes, Qoblex warns you: “You have pending changes, if you leave this page you will lose those changes. Do you want to continue?”

If a setting fails validation (for example a location or price-list rule from section 2 or 4), Qoblex shows the error messages above the buttons and does not save until you resolve them.

Important: while a store is still being set up, navigation to the rest of Qoblex is disabled until you save. Use Finish Setting Up Your store (or Save) to complete configuration and unlock the rest of the app.

Updating permissions

If Qoblex needs additional permissions from Shopify, a banner appears at the top of the settings page: “Update your integration to grant Qoblex the necessary permissions for seamless store management.” Click Update to grant the new permissions. Qoblex may also show this as an “Update Integration Scopes” dialog with the same message and an Update button; if the problem continues after updating, contact customer support.

Some settings, such as reading your store’s locations, only work once these permissions are granted. If you see the update banner, grant the permissions before finishing your configuration.

Disconnecting the store

To remove the integration, click Disconnect store at the bottom of the page. Qoblex asks you to confirm (“Are you sure you want to uninstall this Addon?”) before uninstalling. Once confirmed, the store is disconnected and you are returned to the Integrations list.

Troubleshooting

The settings page shows a permissions banner or fails to load your locations
Qoblex is missing a permission it needs from Shopify. Click Update on the banner (or in the “Update Integration Scopes” dialog) to grant the required permissions, then reload the page. If the issue persists after updating, contact customer support.
The “sync new products” and “publish” switches are not showing
Those two switches only appear when Qoblex is a source of product information. Set “How would you like us to sync your products information?” to Sync from Qoblex to Shopify or Sync both ways and they will appear.
The product field checkboxes disappeared
The field checkboxes and the new-product switches are hidden when product information sync is set to Do not sync. Choose any other direction to bring them back.
Qoblex will not save my settings
Qoblex validates before saving and lists any problems above the buttons. Common causes are location-mapping and price-list rules covered in Shopify locations, currency, and price lists: resolve the listed messages, then save again.
