Use the Suppliers page to find supplier records, open supplier details, import suppliers, and delete selected suppliers.
Supplier records are used anywhere Qoblex needs purchasing-side contact information, including purchase orders, supplier bills, supplier deposits, supplier returns, supplier defaults, and supplier price-list behavior. Keep supplier records clean before importing purchases or connecting accounting integrations, because missing supplier details can block purchasing and sync workflows later.
Open the Suppliers Page
Open Contacts > Suppliers.
The page shows a searchable suppliers table with actions at the top of the page.
Use this page when you need to:
- review the active supplier list
- open a supplier before creating or checking purchases
- import a new supplier list
- remove supplier records that should no longer be used
- confirm email or phone information before contacting a supplier
Supplier List Columns
The Suppliers table includes:
- Selection checkbox.
- Id column, hidden by default.
- Company.
- Main Contact.
- Email.
- Phone.
The Company column opens the supplier editor. The Email column is a mail link. The Phone column displays the supplier phone number.
The hidden Id column is mainly useful when support or imported data needs to be matched to a specific Qoblex contact record. The visible list is designed for day-to-day supplier identification, so operators normally work from Company, Main Contact, Email, and Phone.
Before You Make Bulk Changes
Before deleting or changing supplier records, confirm:
- no active purchase order, bill, supplier return, or deposit still needs the supplier
- the supplier is not used as a default supplier on important product variants
- any connected accounting system has already synced or reconciled the supplier-side transactions you need
- the supplier was not created by a recent import that still needs review
Deleting a supplier removes the contact record from the supplier list. It should be treated as an operational cleanup action, not as a way to correct historical purchasing documents.
Search Suppliers
Use the search box labeled Filter by supplier name….
The list searches by supplier company name. Search runs after you stop typing briefly and refreshes the table with matching results.
If the supplier does not appear:
- Clear the search box.
- Check for alternate spellings or abbreviations in the company name.
- Confirm the contact was created as a supplier, not only as a customer.
- If the supplier came from a CSV or Xero import, reopen the import report and check whether the row imported successfully.
Create a Supplier
Select Create new on the Suppliers page. Qoblex opens the contact editor for a new supplier.
New supplier records are created as supplier contacts. Supplier-specific advanced fields include purchase tax class, currency, and minimum order value.
The same base contact rules apply to suppliers: the supplier needs a company name, valid primary email, and at least one address before it can be saved.
See Create and edit a contact.
Recommended setup for a new supplier:
- Enter the company name exactly as it should appear on purchasing documents.
- Add the main contact details used by purchasing staff.
- Add billing and delivery addresses if they differ.
- Set supplier purchasing defaults, such as currency, purchase tax class, and minimum order value when those fields apply.
- Save the supplier before creating purchases, deposits, or supplier returns for that company.
If the supplier is also a customer, keep both roles on the same contact record when possible. That makes account review and contact maintenance simpler.
Import Suppliers
Select Import on the Suppliers page to open the supplier import wizard.
See Import suppliers.
Open a Supplier
Select the supplier name in the Company column. Qoblex opens the contact editor.
When you close the editor after saving, the Suppliers table reloads so the latest supplier information appears in the list.
Use the supplier editor to review:
- company and contact details
- addresses used on purchasing documents
- default tax and currency settings
- linked contact people
- purchasing-related advanced fields
Changes are saved from the contact editor, not directly from the Suppliers list.
Select Suppliers
Use the checkbox column to select one or more suppliers. You can then run a bulk action.
If you run a bulk action without selecting any rows, Qoblex shows No contacts selected and Please select one or more contacts and try again.
The selection applies only to rows currently selected in the table. If you search or reload the page, review the selection again before running a bulk action.
Delete Suppliers
Use Bulk Actions > Delete after selecting one or more suppliers.
Qoblex asks Are you sure you want to delete the selected contacts? and warns You won’t be able to revert this! The confirmation buttons are Yes, proceed! and No, cancel!.
When confirmed, the selected suppliers are deleted and the table reloads.
If deletion fails, Qoblex shows Oops! Something went wrong when trying to delete the selected contacts. Please check the activity feed for more details or contact support.
