The WooCommerce integration connects your WooCommerce store to Qoblex and keeps your products, inventory levels, prices, and sales orders aligned between the two systems. It works in two parts: a one-time import that seeds Qoblex with your WooCommerce products, and an ongoing automatic sync that keeps both sides current as things change afterwards. This article is a map of how the integration fits together: where you install and open it, the initial import, the automatic sync that runs afterwards, and the four settings sections you use to configure it. After reading it you will understand what the integration does on its own and where to go for the step-by-step detail on each part.
What the integration connects
A WooCommerce store connects to one Qoblex company. WooCommerce treats your store as a single location, so on the Qoblex side you choose which of your Qoblex warehouse locations feed that store: which locations’ stock levels are published to WooCommerce, and which locations WooCommerce orders are fulfilled from. You reach the integration from Integrations. On the WooCommerce card, click Add Store to open the Add a WooCommerce store window, then enter your store URL (type it without https://) and continue. Only secure stores running on HTTPS are supported. Once a store is connected, the WooCommerce card keeps the Add Store button and adds a Settings control next to it; Settings lists each connected store by its URL and reopens that store’s settings page. A store URL can only be connected to one Qoblex company. If you try to add a store URL that is already connected to a different company, Qoblex blocks it and tells you the URL is already used by another company.
The two halves of the integration
Setting up WooCommerce has two distinct stages. 1. A one-time import. When you finish setup, Qoblex imports your WooCommerce products into Qoblex. You start this from the settings page: Finish Setting Up Your store first saves your settings, then opens the import window where you click Import Products. The import can take a few minutes depending on how many products you have, and Qoblex emails you when it is done. See Finish setup and import products. 2. Ongoing automatic sync. After the import, the integration mostly runs itself. Qoblex registers with your store so WooCommerce notifies Qoblex when an order or (when applicable) a product changes, and Qoblex pushes stock levels, prices, and fulfillment back out as your Qoblex data changes. New WooCommerce orders are also picked up automatically on a short recurring cycle, so an order that did not arrive by notification is still brought in shortly after.
The settings page and the initial import are the only parts you drive by hand. Everything after setup is handled for you in the background.
Source of truth: each data type has a direction
The heart of the integration is deciding, for each kind of data, which system is in charge. Qoblex calls this the sync direction, and you set it separately for inventory levels, product information, and pricing. The available directions differ by data type, because some data is meant to be driven from Qoblex only. – Inventory levels offer Do not sync or Sync from Qoblex to WooCommerce only. Stock quantities are managed in Qoblex, so they cannot be set to flow in from WooCommerce. When you choose Sync from Qoblex to WooCommerce, the settings page notes that “Manual stock level changes made directly in WooCommerce will be overwritten by Qoblex” and that stock adjustments, transfers, and purchases must be performed within Qoblex. – Product information offers the full range: Do not sync, Sync from Qoblex to WooCommerce, Sync from WooCommerce to Qoblex, or Sync both ways. – Pricing offers Do not sync, Sync from Qoblex to WooCommerce, or Sync from WooCommerce to Qoblex. Pricing does not offer a both-ways option.
Important: the direction you choose also controls which product changes Qoblex listens for. Qoblex only listens for product changes from WooCommerce (products created, updated, deleted, or restored) when inventory levels, pricing, or product information is set so that WooCommerce is a source. Inventory levels cannot be set to a WooCommerce source, so on its own it never enables product notifications; if neither pricing nor product information treats WooCommerce as a source, product changes made in WooCommerce will not flow into Qoblex.
The defaults Qoblex ships with are: inventory levels sync from Qoblex to WooCommerce, product information syncs both ways, and prices sync from WooCommerce to Qoblex. The settings surface at a glance
Open WooCommerce from Integrations > Settings on the WooCommerce card. The settings page is organized into four numbered sections. This is the whole configuration surface; the detailed articles walk through each one. 1. Inventory levels Synchronization. Choose the direction for stock levels (quantity adjustments, stock transfers, purchases, and so on). When you sync from Qoblex to WooCommerce, you also pick which warehouse locations’ inventory is reflected in WooCommerce; select more than one to aggregate stock across warehouses. Covered in Inventory sync settings. 2. Sale Order Synchronization. Choose which Qoblex warehouse locations can fulfill WooCommerce sales orders. Select more than one location and Qoblex can split an order across warehouses based on product availability; when you do, arrows let you set the fulfillment priority so orders are filled from the first location with available stock. Covered in Sales order sync settings. 3. Product Synchronization. Choose how Qoblex matches products across stores (by name, by SKU, or by barcode), set the product information direction, decide whether to automatically sync new Qoblex products to WooCommerce, and tick which product properties to sync (Name / Title, Inventory Tracking Policy, Options and their values, Description, Product Handle (url), Images, Product Tags, and Continue selling when sold out). Covered in Product sync settings. 4. Pricing Synchronization. Choose the price sync direction, assign the price list, and assign the Compare At price list. Covered in Pricing sync settings. Along the bottom of the page you also have the actions that manage the connection. A store that has not finished setup shows Finish Setting Up Your store alongside Save; a fully connected store shows Cancel and Save. Disconnect store removes the connection. Important: the Price and Compare At price lists must be different, must use the same currency, and must match your store currency; Qoblex blocks the save and shows the reason until this is resolved. If inventory levels sync from Qoblex to WooCommerce you must select at least one location to sync inventory from, and you must always select at least one location to fulfill orders from.
What the ongoing sync handles for you
Once setup is done, these changes flow automatically between WooCommerce and Qoblex. – New, edited, deleted, or restored orders. When an order is created, updated, deleted, or restored in WooCommerce, Qoblex picks it up and keeps your Qoblex order current. New orders are also collected automatically on a short recurring cycle as a safety net. See Sales order sync settings. – Refunds and returns. Refunds and returns raised against a WooCommerce order are reflected in Qoblex. – Product changes from WooCommerce. When WooCommerce is a source for inventory, pricing, or product information, products created, updated, or restored in WooCommerce update the matched Qoblex product. A product deleted in WooCommerce is unlinked from Qoblex; the Qoblex product itself is not deleted. – Stock levels, prices, and fulfillment from Qoblex. As your Qoblex data changes, Qoblex pushes the relevant updates back to WooCommerce in the background: stock level changes when quantities or allocations move, price changes when a synced price changes, and fulfillment when a shipment is dispatched in Qoblex.
Product changes in WooCommerce that apply to a single variation are handled through the parent product, so Qoblex does not process a separate notification for each variation on its own.
