Quotes overview

A quote in Qoblex is a sale order that is still in Quote status: a draft offer you send to a customer before they commit to buy. Because it is only a draft, a quote holds no stock and creates no invoices. Nothing is allocated, reserved, or billed until the quote becomes a confirmed order.

The Quotes screen, at Sales > Quotes, is the list view for these draft orders. It gives you one place to view and find your quotes, tailor which columns you see, save custom views for the subsets your team works from, and inspect the products on any quote, all without opening each record one at a time.

What a quote is

A quote is the earliest stage of a sale order. It records the customer, the products you are offering, quantities, prices, and discounts, but it is not a commitment:

  • It does not reserve or allocate stock.
  • It does not create an invoice or a payment.
  • It can be revised freely while you and the customer agree on terms.

When the customer is ready to buy, you convert the quote into an order. From that point the order follows the normal sale-order lifecycle (allocation, fulfillment, invoicing). Converting is done in the sale-order workspace, not on this list. See Sales order statuses and actions.

What the Quotes screen does

The Quotes screen is a table of your quote records. From it you can:

  • Switch between the All tab and any saved custom view tabs.
  • Filter quotes by fields such as customer, quote number, state, contact details, sale agent, dates, and tags.
  • Sort quotes.
  • Show, hide, and reorder columns.
  • Page through the results.
  • Open a quote by selecting its quote number.
  • Inspect the products on a quote from the Products column.
  • Save the current filters, sorting, and columns as a custom view, then update or delete that view later.

Each of these is covered in a dedicated article:

Creating, editing, and converting a quote

The Quotes screen is for viewing and organizing quotes. It does not create or edit them.

You create a quote, change its line items, and convert it into a confirmed order in the sale-order workspace. Select a quote number on this screen to open that record.

A quote and its resulting order are the same record at different stages, so converting a quote does not create a duplicate. Once a quote is converted, it is an order and follows the sale-order workflow.
